The Cannabis Cultivation – Administrative Assistant of Operations will support the administrative needs of the Company’s production team across all multi-state production sites. This role is key to maintaining smooth operations, supporting facility leadership, tracking regulatory compliance, coordinating logistics, and ensuring timely communication between sites and corporate leadership. The successful candidate will be adaptable and able to shift priorities in a dynamic environment, with a strong focus on improving operational efficiency, reducing costs, and maintaining clear, professional communication across teams with a commitment to confidentiality and integrity in managing employee records and other sensitive information.

Job Responsibilities:

Provide day-to-day assistance to site managers, including scheduling, tracking attendance, data entry, procurement tracking, and HR paperwork. Assist in the coordination of recruitment efforts, including posting job openings, scheduling interviews, and communicating with candidates. Collaborate with hiring managers to ensure a smooth and efficient recruitment process. Facilitate new employee onboarding, ensuring a positive and informative experience. Coordinate orientation sessions, process new hire paperwork, and assist in creating a welcoming onboarding environment. Ensure ongoing compliance with annual training, record-keeping requirements and data confidentiality. Maintain background screening and state badging renewal process. Perform weekly, monthly, and annual audits to ensure key supplies are available and maintained. Welcome employees and visitors to the production site, maintaining records of entry and exit, and provide employees with access to keys as needed. Assist management team with employee time keeping and record keeping. Collect and compile operational data (e.g., yields, labor, pest control logs) from cultivation and post-harvest teams. Draft correspondence with Human Resources oversight, including documents for regulatory bodies such as state cannabis regulators and OSHA. Assist production team in developing, updating, and maintaining documents and logs to support production efforts. Assist with purchasing and receiving to ensure maintenance of items critical to general operations and new site start up activities. Track orders, inventory movement, and inter-site supply logistics. Identify opportunities for cost savings and efficiency improvements in purchasing and vendor relationships. Contribute to employee engagement initiatives, including coordinating team-building activities and recognition programs. Gather feedback and assist in implementing initiatives to enhance employee experience.

EducationQualifications:

High school diploma or equivalent. Strong organizational and time management skills. Previous experience in inventory management, preferably within a retail setting. Experience in the cannabis industry is a plus. Familiarity with inventory management software and systems. Knowledge of cannabis products and their characteristics. Detail-oriented and capable of maintaining accuracy in inventory records. Ability to multitask and work efficiently in a fast-paced environment.

Physical Requirements:

Must have the ability to push, pull, or lift a minimum of 20 pounds if relevant to job duties listed above. Must be capable of sitting, squatting, standing, kneeling, bending, or walking throughout the workday. Exposure to fertilizer, dusts, odors, high heat, low temperature, high and low humidity, high noise levels, vibrations, water, dry salts, allergens, pollen, dust, plant pathogens, other volatile organic compounds, and other environmental variables.
