Job Description
Building Manager Civix Property Management Longboat Key, FL 34228
- Work collaboratively with our other on-site personnel
- Walk through property to look for needed repairs and clean-up
- Have regular announced office hours on-site
- Interact with unit owners as needed o Investigate any complaints for maintenance items and arrange for repairs as needed o Answer questions as needed and provide information o Provide forms and documents for unit owners as needed
- Report owner violations to manager
- Investigate building concerns brought by unit owners including water intrusion o Inspect apartments with concerns and work with the manager to arrange for any necessary evaluations and repairs
- Meet with contractors and vendors for bids and inspections
- Schedule regular maintenance for the Association o Pest control
- every other month and accompany during treatment for access to apartments o Exterior window washing

- Arrange for repairs or replacement as needed of o Laundry equipment o Association water heaters o Association kitchen appliances o Front door entry system o Elevator o HVAC systems o Exterior lighting o Fire Alarm system o Fire system components o Garbage chutes o Generator o Pool equipment o Plumbing fixtures o Building water pump o Pool and beach furniture o Exercise equipment o Painting, staining, minor stucco repairs o Shuffle board and picnic area o Grill and the portable grill propane tank o Fountain area o Outdoor shower and beach shower o Pavers o Door hardware • Arrange for regular inspections of Association equipment o HVAC units•twice yearly o Generator and fuel tank•yearly o Fire extinguishers•yearly o Lighted fire exit signs•yearly o Fire sprinkler system•yearly o Fire pump•yearly o Fire Alarm•yearly o Exercise equipment•yearly • Yearly Inspections of units o Perform in conjunction with board a yearly inspection of apartments § Balcony and Balcony flooring § Water heater and for water alarm § Smoke alarms • Coordinate Association insurance inspections and appraisals • Attend scheduled meetings for building wide projects as needed • Order and purchase building supplies as needed o Cleaning supplies and equipment o Paper products o Dumpster deodorizer o Manage the ordering and storage of bottled water • Assist in preparing property for storms as needed • Collect and open association mail • Prepare and print notice signs for building maintenance and repairs o Examples, window washing, laundry room closures, window washing, water shut off, etc • Prepare and print notices for building events o Meetings, gatherings, projects • Maintain building signage, the bulletin board, and glass notice case • Manage turtle season signage • Manage sign-up for community room o Manage deposits as needed • Manage sign-up for exercise room • Assist in maintaining Association records and to clean up office area • Help to maintain portal calendar • Set up community room for board meetings and for annual meeting including AV requirements • Unit construction o Assist the committee in process of approving unit alterations o Inspect and ensure that sound barriers are used during construction o Ensure that workers follow rules including padding of elevator, proper disposal of materials, etc.
o Report violations to the manager and board
- Entry Door Security o Maintain a list of entry door and roof top codes o Assign and program new codes and delete no longer active codes o Work with unit owners and board to provide codes for approved people such as caregivers, etc.
- Rental applications and guest registration o Assist the committee in the approval of rental applications and the intake of guest registrations
- Arrange for any special trash removal working with unit owners as needed
- Coordinate unit owner deliveries so that elevator is property padded
- Arrange for unit access for repair work that may impact other units and common areas
- such as plumbing, hurricane shutters, AC work, water heaters.
- Inspect common areas for any damage after work has been performed
