OVERVIEW
The Close Out Coordinator III assists the markets in all phases of the close out process.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Closeout Packages:
Working with managers and foremen to prepare project closeout packages including completing documents, analysis test results, naming and reviewing photos. Must be available to work after hours as required.
Maintenance Dispatch:
Answering multiple customers’ calls and emails, dispatching work to correct market based on region, available market resources and customer’s needs. Must be available to work scheduled on-call as required.
Review:
Reviews items ready for submission by level I and II coordinators and approves or provides feedback for corrections. Submits reviewed packages, as necessary.
Trackers:
Update closeout trackers with dates documents are submitted.
Reports:
Provide status reports to management and project coordinators
Training:
Trains new employees on Site Manager, basic industry equipment and testing, RBG photo software, Sweep line tools software.
New Project Kick Off:
Works with mangers, foreman and crew leads on required closeout items needed, SLA’s and delivery methods prior to new projects starting.
Department Development:
Works with management to improve and develop processes for increased productivity and department growth. Works closely with construction manage, foreman and department SME. Copies or scans data and compiles records and reports.

KNOWLEDGE, SKILLS AND ABILITIES
Detailed knowledge of Site Manager, RBG photo software, WebDAV and Sweep Line Tools software. Knowledge of Microsoft Office and Adobe. Internet/web sites. Skilled in courteous and professional phone communication. Skilled in professional written and oral communication. Ability to communicate and interact with co-workers and various business contacts in a courteous and professional manner. Ability to handle multiple tasks in a fast-paced environment. Excellent communication skills, both written and verbal. Attention to detail. Excellent organizational skills.
QUALIFICATIONS
High school diploma or GED. Proficiency in Excel, Word, PowerPoint, Microsoft Outlook, and Adobe. Experienced with navigating internet web sites.
