Home Repair Coordinator Job Summary:
The Home Repair Coordinator oversees and manages the home repair program, ensuring efficient scheduling, communication, and execution of repair tasks while overseeing that budgets and grant funding requirements are submitted by required dates. This role involves coordinating with the construction team, volunteers, subcontractors, and homeowners, as well as handling administrative duties related to the repair process.
Key Responsibilities:

Communication & Administration:
Monitor and respond to phone messages, emails, and chat communications daily. Provide information and answer inquiries about the home repair program from staff and homeowners. Distribute home repair applications to homeowners upon completion of the home visit. Notify homeowners of denial reasons related to structural issues or out-of-scope repairs and provide a detailed letter of explanation. Maintain and update Home Repair Manual as needed Update the Home Repair tacking sheet as needed 2.
Scheduling & Coordination:
Arrange home visits for prescreening of repair needs. Collaborate with the construction team to discuss the repair scope and scheduling. Contact and schedule subcontractors for estimates and on-site meetings as needed. Host quarterly team/volunteer meetings 3.
Subcontractor/Volunteers oversight of all aspects:
Evaluate contractors for cost, quality, timeline, licensing, insurance, references, and capacity to meet Habitat’s standards. Collect at least 3 bids or proposals from qualified subcontractors based on scope of work for each repair. Negotiate contracts or agreements, ensuring clear expectations around timelines, budget, materials, and deliverables. Ensure contractors sign all necessary agreements, including scope of work, liability waivers, and any Habitat-specific documents. Schedule and coordinate subcontractor work according to the project timeline and homeowner availability. Conduct site visits to monitor progress, quality of workmanship, and adherence to safety protocols. Ensure work complies with building codes, Habitat standards, and any grant/funding guidelines (such as ARPA or HUD rules). Document progress through photos, notes, inspections, and homeowner feedback. Serve as the primary point of contact between the subcontractor, homeowner, and Habitat. Resolve conflicts or delays, escalating issues as needed. Provide regular updates to leadership on subcontractor performance and project status. Perform or arrange for final inspections of work completed. Address punch list items and ensure all corrections are completed in a timely fashion. Maintain detailed records of contractor files, including licenses, insurance (COI &WC, agreements, and past performance. Ensure timely payments are processed after satisfactory completion of work. If needed, terminate the subcontractor professionally and in accordance with the construction team. Ensure proper use of permits, licenses, and insurance to minimize liability. 4.
Budget & Reporting:
Maintain repair budgets, ensuring compliance with grant funding including in-house repair budgets. (Recycle & Rental) Save and manage repair files electronically and, when necessary, in paper format. Create and submit grant reports by the 10th of each month (if needed) and prepare weekly repair updates on Mondays. Generate a yearly home repair budget with construction manager and manage daily log reports for repair projects on Procore. Including updates on completed work. Create and submit home repair budgets to family services for approval. 5.
Marketing & Promotion:
Assist with marketing and promotional activities for the home repair program to enhance visibility and engagement. 6.
Home Inspection & Maintenance:
Schedule and conduct home walk-throughs for properties to be returned to Habitat, in coordination with Construction manager. Ensure the project work area remains clean and free of pests and maintain tool safety standards. (per OSHA regulations) 7.
Collaboration & Support:
Work with Construction team and human resource to coordinate volunteer availability for repair and rental homes. Assist with grant writing (as needed) and attend in-house and community meetings as well as events if required. 8.
Qualifications:
Organizational and communication skills. Managing budgets and creating reports. Must have Established Relationships with Reliable Subcontractors Ability to coordinate multiple tasks and projects efficiently. Experience in home repair or construction management is a plus. Familiarity with grant reporting and marketing is advantageous. Word, excel, google docs, Gmail, general computer skills. Procore is a plus. Ability to lift 40-50 lbs. 9.
