Center Operations Assistant

Summary:

Works closely with Center Supervisor to assure that center runs smoothly, all needed paperwork is done accurately and filed, that needs of children, parents and staff are met; and that children receive care for health needs. Works to assure applicable regulations including those from DHR and the Head Start Program Performance Standards are maintained. Responsible for problem solving and keeping the center functioning in absence of Center Supervisor. Works with Nutrition Services Supervisor to assure all required services given.

Primary duties:

Open and close center office and classrooms daily as per schedule; call or email main office that center is checked and cleared of children at end of day as per closing procedure. Document staff absences, tardiness problems, or parent problems; share information with Center Supervisor regularly to keep informed. Monitor classrooms as staff arrive; see that all classrooms properly staffed each day; deploy floater and other designated persons who can fill in as appropriate to meet staff[1]child ratio. Make non-emergency changes to staff schedules or job related activities only as approved by Center Supervisor. Ensure basic supplies are on hand – requisition (for Center Supervisor approval) more as needed; keep running inventory of education materials and supplies. Process work orders and requisitions as needed so center is well-maintained; draw attention to items that cannot wait such as those causing licensing or health safety violations that need immediate action; transmit routine items to Center Supervisor or for staff meeting. Plan with the Center Supervisor as needed use of available building space. Plan events to include; dental exams, growth assessments, hearing, vision, ASQ screenings, wellness programs, IEP referrals or testing and exit conferences, informing Center Supervisor and Teachers. Receive Special Services referrals from teachers or parents and transmit to Mental Health/Disability Specialist or Center Supervisor. Report child or adult injuries to the Center Supervisor and Personnel Manager for Workmen’s Compensation or child insurance, and report child injuries to DHR. Set up and then maintain health folder and education folder for each child; make sure folders contain all needed forms. Keep health and education records up-to-date (paper, in ChildPlus and USDA spreadsheet). Ensure that parents and visitors who come to the center receive appropriate services. Assist parents with paperwork to include bus changes; keep track of number of changes for each child; Teacher/Parent conferences, home visits, etc., share with Center Supervisor. See that all drivers sign the Bus Check-In Form and that bus changes are made only according to procedures (no last minute changes from parent). After last route arrives each morning, call transportation assistant reporting times and number of children brought in. Receive copy of new bus list and bus changes each week. Work with Center Supervisor to see all transportation (field trips, dental, etc.) is scheduled/ appropriate forms completed; immediately notify Transportation Supervisor if transportation is not on time; report problem to Center Supervisor. Receive, check (use absence/tardiness log) and initial Time Sheets for staff; file copies; transmit original to Center Supervisor for signature within two workdays after payday. Keep files for each staff person at the center; assure that all items are present and up-to-date as required by DHR; report any problems to supervisor. File all materials for children and staff after Center Supervisor has seen and initialed material. This includes lesson plans and copies of all training data for staff, including cooks and bus drivers, filed in accordance with DHR requirements. Provide progress reports (health and any other area requested by Center Supervisor) quarterly (by 5th of February, May, August and November) to supervisor two weeks before due date for Board report. Keep track of Foster Grandparent attendance and check the Foster Grandparent time sheet; initial and give to Center Supervisor for signature. See that parents are given RAGS Bags with activity sheets each week on designated day (currently Tuesday) as they sign their children out of the center; and send RAGS sheets with bus aides each week for children riding the bus; see that RAGS time sheets are returned and checked off and transmitted to In-Kind Manager weekly. Take money and write receipts for meals purchased from kitchen; transmit to Center Supervisor as per procedure. All other duties as assigned.

Education:

Associate’s degree or higher in management is preferred.
