Crewing Coordinator Job Summary We are looking for a Crew Coordinator to ensure all company vessels are properly crewed at all times in accordance with internal standards, regulatory requirements, and collective bargaining agreements. Supervise crew payroll functions, maintain accurate crewing records, and coordinate travel logistics. Support vessel operations by ensuring timely placement of qualified personnel and maintaining effective relationships with seagoing staff and union representatives. Crewing Coordinator Responsibilities Maintain accurate and compliant crewing levels across all vessels, ensuring alignment with operational, licensing, and union agreement requirements. Coordinate travel for assigned relief and departing crew members in a timely and cost-effective manner. Collaborate with Superintendents and Fleet Managers to ensure new hires and internal promotions meet competency and credential requirements. Maintain up-to-date marine personnel records, including medical documentation, in accordance with company policies and applicable regulations. Ensure accurate and timely data entry and utilization of the HRIS system; support reporting and system optimization. Process and code monthly invoices for crewing-related costs; resolve billing discrepancies and complete reporting as requested. Serve as the primary on-call contact for after-hours crewing issues. Maintain comprehensive knowledge of collective bargaining agreements and ensure consistent application. Foster productive relationships with union personnel and hall representatives. Provide responsive support to seagoing personnel, ensuring their questions and expectations are addressed professionally. Draft letters of service, reports, and analytical charts/graphs as needed. Support operations teams by ensuring equitable administration of crewing policies. Identify and recommend solutions for current and anticipated crewing gaps; manage internal job bid processes. Contribute to training needs assessments in line with crewing strategy and development goals. Assist the Manager of Crewing in addressing employee and union inquiries and disputes. Respond to unemployment claims and other employment verifications as required. Participate in the development or revision of Management System (MS) procedures to support crewing effectiveness. Represent the company professionally while delivering cost-effective, compliant, and customer-oriented crewing services. Crewing Coordinator Position Requirements Bachelor’s degree from a Maritime Academy preferred. 2-5 years of experience in vessel crewing or marine personnel coordination, ideally in tug/barge or shipping operations. Experience in a unionized work environment strongly preferred. Familiarity with U.S. Coast Guard regulations and collective bargaining agreements. Working knowledge of HRIS systems, reporting tools, and Microsoft Office (Excel, Outlook, Word, etc.). General understanding of HR processes is a plus. Excellent written and verbal communication skills across all organizational levels. Strong organizational skills with the ability to manage shifting priorities and tight deadlines. Customer-focused approach with highly developed interpersonal and relationship-building skills. Proven ability to maintain confidentiality and uphold high ethical standards. High level of professionalism, judgment, and emotional intelligence. Ability to remain calm and effective in high-pressure or rapidly changing environments.
