Job Summary We are seeking a sharp, organized, and proactive Construction Project Coordinator to support our fast-moving operations team. In this vital role, you will collaborate closely with Project Managers and Superintendents across high-impact builds. You’ll handle documentation, scheduling, internal communications, and logistics to keep our projects running smoothly and on budget. Key Responsibilities Project Documentation & Administration
- Organize and maintain project files including contracts, permits, drawings, change orders, RFIs, and submittals.
- Assist PMs with submittal tracking, uploading, and distribution in Procore.
- Maintain accurate meeting minutes and documentation from internal and external meetings.
- Ensure all project records are uploaded and filed per CDG documentation standards. Scheduling & Workflow Coordination
- Support PMs in updating project schedules and milestone trackers.
- Coordinate logistics for inspections, site visits, and vendor walkthroughs.
- Track material deliveries, rental equipment, and manpower allocations to assist Superintendents in keeping sites on schedule. Communication & Client Coordination
- Act as liaison between Project Manager, Superintendent, subcontractors, vendors, and clients for time-sensitive updates.
- Draft and distribute progress reports, site updates, meeting agendas, and client memos with clarity and professionalism.
- Maintain internal communication logs to ensure smooth workflow between office and field. Cost & Procurement Support
- Process purchase orders, subcontractor invoices, and vendor payments accurately and on time.
- Track project spending and assist PMs in identifying budget variances.
- Maintain procurement logs and quote sheets for materials and services. Logistics & Field Readiness
- Coordinate material orders and deliveries based on look-ahead schedules provided by the Superintendent.
- Confirm receipt of correct materials on job sites and escalate any delivery issues.
- Manage vendor communications and documentation around quotes, lead times, and compliance. Safety & Compliance Administration
- Distribute job-specific safety plans and maintain safety tracking logs.
- Assist in organizing OSHA documents, toolbox talks, and incident reports.
- Help prepare for inspections by organizing compliance paperwork and permitting files. Project Closeout Execution
- Prepare and submit closeout documentation including warranties, O&M manuals, and as-builts.
- Track punch list items and assist in final inspection scheduling and documentation.
- Ensure all final documents are archived and filed properly per CDG protocol. Issue Tracking & Escalation
- Monitor unresolved RFIs, long-lead items, and site-level issues; flag to PMs when intervention is needed.
- Help process and document change orders, including scope updates and schedule impacts.
- Support PMs in resolving coordination conflicts or field-level disputes. Qualifications & Traits Education & Certifications
- High school diploma or GED required. Associate’s or Bachelor’s degree in Construction Management, Business Administration, or related field preferred.
- OSHA 10/30 and/or Procore Certification preferred but not required. Experience
- 2-5 years of experience in project coordination, project administration, or assistant-level construction management roles.
- Familiarity with commercial, hospitality, or church project scopes is a strong plus. Technical Skills
- Proficient in Procore, Microsoft Project, and Microsoft Office Suite (Excel, Outlook, Word).
- Basic understanding of construction drawings, terminology, and processes.
- Ability to learn and navigate tools like Bluebeam and RedTeam when required. Attributes We Value
