is seeking a program team member in the role of Program Coordinator, Participant Engagement and Harwich Site Coordinator. WE CAN (Women’s Empowerment through Cape Area Networking) was founded in 2001 toempower Cape Cod women by providing unique services that inspire hope and bring increased stability, self-sufficiency, and opportunity to their lives. WE CAN serves more than 1,400 women each year with confidential, free legal services, employment and business support, financial empowerment, mentoring, and personal development programs.

POSITION SUMMARY

The Program Coordinator is responsible for engaging participants as they seek services or assistance via phone, email, text or in person at the Harwich Port office. The position creates a warm, welcoming and inclusive environment for all participants, volunteers and visitors. The position engages new or potential participants, taking information, scheduling appointments or registering for workshops or providing referrals to other community-based organizations. The position documents all interactions in a professional and timely manner. In this role, the Program Coordinator also functions as the on-site coordinator of the Harwich Port office which includes preparing the office for appointments, workshops volunteers and events. The position coordinates the training, scheduling and monitoring of participant engagement or reception volunteers to ensure adequate volunteer coverage and provides direct feedback in real time to ensure high quality engagement of participants. Additionally, as part of the site coordination responsibilities, the position collaborates with the site coordinator in the Hyannis office to review and plan for office coverage and coordinates with outside vendors. The coordination requires an understanding of all activities occurring in the office, maintaining the calendar and communicating effectively with the team to ensure that each office has ample staff to successfully provide services to participants.

DUTIES AND RESPONSIBILITIES

Participant Engagement

  • Ensures a warm and welcoming atmosphere for participants, staff and volunteers at the Harwich site.
  • Works with participants at any point of engagement from initial contact through their on-going involvement in WE CAN programs to address their needs.
  • Provides consistency on the phones and in the front of the Harwich office to answer questions and direct participants and volunteers.
  • Responds promptly to individuals seeking assistance via phone, text, email or in person.
  • Conducts follow-up calls to participants either to assess needs or offer referrals to other community-based organizations.
  • Attends 2-3 workshops annually as the on-site WE CAN staff person.
  • Collects and enters information into the database in a timely and professional manner.
  • Conducts outreach to community to increase awareness about WE CAN services. Harwich Site and Volunteer Coordination
  • Coordinates and prepares the space in the Harwich office for events or appointments.
  • Maintains and updates the Google calendar for the site in a timely manner.
  • Communicates effectively with volunteers and staff about activities/events occurring at the site.
  • Provides support before, during and after appointments for volunteers and participants.
  • Collaborates with the Hyannis Site Coordinator on volunteer and staff coverage, appointment preparation, changes and confirmations.
  • Trains, schedules, and monitors participant engagement/reception volunteers.
  • Tracks, orders and maintains supplies and materials for the office and ensures they are ordered in a timely manner.

  • Understanding of WE CAN mission and organizational philosophy and the ability to communicate it to stakeholders.
  • Commitment to working with women of diverse backgrounds, ages and life situations to support success and independence.
EDUCATION AND EXPERIENCE
  • Education in a relevant field such as human services, etc. or equivalent life experience preferred. Candidates who have gained relevant skills and knowledge through other means, such as practical experience, self-study, or non-traditional learning paths are encouraged to apply.
  • Familiarity with local Cape community resources and organizations preferred.
  • Experience working with volunteers and women in need in work setting preferred.
HOURS:

Position is full time; Monday-Friday, including some evening meetings/ programs/events. Position has a home base of Harwich Port with some travel between sites expected for staff meetings, trainings, office coverage and collaboration with colleagues. Reliable transportation is required.

COMPENSATION AND BENEFITS

The hiring range pay for this position is $24.00 – $25.00 per hour.
