What You’ll Be Doing:

In this key role, you will work closely with our Project Managers to ensure the seamless execution of each project. Your days will be varied and impactful as you take ownership of the following responsibilities:

Enter New Contracts :

Input new contracts into our project management systems and organize them properly for easy access.

Manage Permits :

Handle permit applications and track their progress to ensure smooth project progression.

Coordinate Pre-Job Setup :

Ensure all documentation is complete, from signed contracts to project folders and client selections.

Client Communication :

Send important emails and help clients with payment setup and coordination as needed.

Material Management :

Pre-order materials and schedule necessary deliveries in partnership with the Project Manager.

On-Site Logistics :

Organize dumpsters, porta-johns, and inspect job sites to ensure smooth transitions.

Schedule Inspections :

Coordinate inspections, ensuring everything passes smoothly and on time.

Financial Recordkeeping :

Receive, scan, and file all receipts and invoices. Work with the Project Manager and financial team to reconcile and enter payments.

Project Management Support :

Assist the Project Manager with backend tasks to ensure that everything runs smoothly, from start to finish. Job site visits : Attend various active job sites to conduct visits to ensure all ongoing projects are progressing according to schedule.

Customer Service :

Be the friendly voice on the phone, answering questions and keeping clients informed throughout the process. Outbound and inbound phone calls will be required. Greeting customers that enter into our showroom.

Qualifications:

To succeed in this role, you’ll need: Minimum 5 years of administrative experience , ideally in a construction or project management setting. Experience with project management tools (familiarity with construction management software is a plus). Strong proficiency with Microsoft Excel and Word . As well as the Google Platform. Knowledge of residential building projects and basic construction processes is a plus. Excellent organizational skills , with the ability to juggle multiple projects and deadlines effectively.
