Full Job Description Job Summary:

We are seeking an organized and detail-oriented Part-Time Construction Office Manager to oversee administrative operations for our construction company. The ideal candidate will be proficient in QuickBooks, experienced with construction contracts, and knowledgeable in finance to ensure smooth office functionality, accurate financial tracking, and compliance with contractual obligations.

Key Responsibilities:

Financial Management:

Utilize QuickBooks to manage accounts payable/receivable, process invoices, track project budgets, and generate financial reports. •

Contract Administration:

Draft, review, and manage construction contracts, ensuring compliance with terms and conditions. Maintain organized records of all contracts and related documentation. •

Office Operations:

Coordinate daily office activities, including scheduling, correspondence, and communication with vendors, subcontractors, and clients. •

Document Management:

Maintain and organize project files, permits, and other critical documentation for easy access and audit purposes. •

Liaison Role:

Act as a point of contact between field teams, management, and external stakeholders to ensure clear communication and timely resolution of issues. •

Compliance:

Ensure all financial and contractual activities adhere to industry standards and local regulations.

Qualifications:

Experience:

Minimum of 3 years in office management, in the construction industry. •

Technical Skills:

Advanced proficiency in QuickBooks (Desktop or Online) for bookkeeping and financial reporting. •

Contract Knowledge:

Strong understanding of construction contracts, including terms, clauses, and compliance requirements. •

Finance Acumen:

Solid grasp of financial principles, budgeting, and cost tracking within a construction context. •

Education:

Associates or equivalent •

Soft Skills:

Excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. Strong communication and interpersonal skills. •

Software Proficiency:

Quickbooks, familiarity with Microsoft Office Suite (Word, Excel, Outlook) and construction management software is a plus.

Work Schedule:

Flexible part-time schedule, approximately 20-25 hours per week, with potential for some remote work depending on business needs.
