Job Summary:
We are looking for an experienced Administrative Assistant with a strong background in the plumbing industry to join our team. The ideal candidate will be fluent in English, with Spanish language skills as a plus, and proficient in Microsoft Excel. This individual will provide essential administrative support, assist with plumbing-related tasks, and ensure smooth operations within the office. The successful candidate will be well-organized, detail-oriented, and able to work effectively in a dynamic environment.
Key Responsibilities:
Administrative Support:
Answer and direct phone calls, respond to emails, and handle general inquiries from customers, vendors, and contractors. Schedule appointments, meetings, and site visits for plumbers and other team members. Assist in managing office supplies, equipment, and inventory, ensuring everything is stocked and organized. Maintain accurate records and documentation, both digital and physical, including contracts, invoices, and project files.
Plumbing Industry Knowledge and Support:
Assist with the preparation of plumbing estimates, reports, and invoices, ensuring they are accurate and detailed. Coordinate with customers, suppliers, and plumbers to schedule and track project timelines and deliverables. Review plumbing-related documentation, blueprints, and job specifications for clarity and accuracy. Support the team by assisting with plumbing project management tasks, including tracking materials, job status, and timelines.
Excel and Data Management:
Use advanced Excel skills to create and maintain spreadsheets for tracking plumbing projects, job costs, inventory, and customer orders. Analyze data to generate insights and provide support for decision-making and project management. Ensure data integrity, accuracy, and timeliness in all Excel-based reports and documentation.
Customer Service and Communication:
Provide excellent customer service by responding to inquiries, assisting with troubleshooting basic plumbing issues, and following up on ongoing projects.
General Office Management:
Maintain a clean and organized office environment and manage the office’s day-to-day operations.
Requirements:
Proven experience as an administrative assistant, ideally in the plumbing or construction industry. Strong knowledge of plumbing operations, terminology, and industry standards. Proficient in Microsoft Excel Fluent in English, both written and spoken; Spanish language skills are a plus. Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. Ability to work independently and as part of a team in a fast-paced environment. Excellent communication skills, with the ability to interact effectively with customers, contractors, and team members. Proficient in office software (e.g., Word, Outlook) and general office equipment (e.g., printers, fax machines).
Preferred Qualifications:
Previous experience in the plumbing or construction industry is highly preferred. Knowledge of plumbing codes a plus Bilingual proficiency (English/Spanish) is a plus
