Full-Time | In-Office Freedom Investment Group is a growing real estate investment and property management company seeking a reliable and organized Operations Coordinator to support our maintenance and construction operations. This role plays a key part in ensuring repairs, renovations, and construction projects are completed efficiently by handling all related office and clerical tasks. Responsibilities Coordinate and schedule maintenance work orders and construction projects. Communicate with tenants, vendors, and internal team members to ensure smooth project execution. Track, organize, and maintain accurate records of: work orders, project files and timelines Vendor documentation (invoices, receipts, insurance, W-9s, licensing) Repair and construction documentation and permits Follow established procedures for maintenance tracking and reporting. Monitor project progress, follow up on outstanding items or delays, and ensure timely completion of open issues. Order supplies and materials as needed for maintenance and construction needs. Support vendor and contractor onboarding, ensuring all required documentation is current and compliant. Assist with administrative tasks for larger renovation or capital improvement projects, supporting project managers or leadership. Maintain organized digital files and logs, including spreadsheets, project trackers, and shared drives. Reinforce vendor and owner adoption of internal systems and processes. Assist in asset tracking and billing, ensuring accuracy and timely updates. Help evaluate vendor performance and identify recurring maintenance issues. Qualifications 1+ years of administrative experience, preferably in property management, construction, or maintenance. References. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Professional, reliable, and able to work independently as well as collaboratively with a team. Comfortable interacting professionally with tenants, contractors, and vendors. Ability to manage multiple tasks, deadlines, and shifting priorities with minimal supervision in a fast-paced environment. Proficient with office software, including Google Workspace (Docs, Sheets, Gmail) or Microsoft Office. Experience with property management or project tracking software is a plus (e.g., Property Meld, LeadSimple, Monday). Previous experience in property management, construction, or office administration is preferred. What We’re Looking For A self-starter who enjoys bringing order to busy workflows.
