The ideal candidate is someone who enjoys talking to people, staying organized, and learning the technical side of fire sprinkler systems. You’ll assist with coordinating repair work, learning how to identify and quote deficiencies, and supporting both office staff and field technicians.
Key Responsibilities:
Assist with scheduling service repairs, and emergency calls for fire sprinkler systems. Communicate with customers to confirm appointments, job site access, and service requirements. Support the creation and management of work orders in the service software platform. Assist in reviewing fire inspection reports to identify noted deficiencies. Learn how to gather field data, material lists, and labor needs for small repairs and prepare basic quotes for review. Coordinate field technician assignments to match skills and job requirements. Track open deficiencies and follow up on outstanding repair proposals. Assist with ordering materials for upcoming repairs as needed. Develop familiarity with NFPA codes and standards related to fire sprinkler systems. Maintain accurate and organized records of service calls, quotes, and work orders. Training Focus Areas Understanding types of fire sprinkler systems (wet, dry, pre-action, deluge). Reading and interpreting inspection reports, drawings, and basic sprinkler layouts. Building quotes for fire sprinkler repairs, replacements, and modifications.
Cost estimating basics:
labor, material, equipment, and subcontractor costs. Customer service practices for the fire protection industry. Introduction to scheduling platforms and service dispatching best practices. Qualifications High school diploma or equivalent required; technical or trade school education preferred. Prior administrative, dispatch, construction coordination, or fire protection experience a plus but not required. Strong organizational skills and attention to detail. Good written and verbal communication skills. Ability to multitask and work in a fast-paced environment. Willingness to learn fire protection industry standards (NFPA, local codes). Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Familiarity with service software platforms (preferred but not required).
Work Environment:
Office-based with occasional visits to job sites for training purposes. Standard business hours with occasional overtime based on customer or job needs. Growth Path This role is designed to develop into a full-Service Coordinator or Deficiencies Estimator position, with increasing responsibility for customer accounts, quoting, scheduling, and project coordination within 12-24 months based on performance.
