This is a newly created and dynamic position designed to advance the Tax Collector Organization’s commitment to Customer-Focused Excellence by positioning the department for success in achieving continuous process improvement and standardization. The Management Analyst will handle a range of administrative and analytical responsibilities, including the procurement of technical components and services, contract management, and supporting the contract workflow and review process. The role also involves managing resource tracking throughout the asset lifecycle, from order to disposal, reporting on upcoming needs based on planned projects, and overseeing asset replacement cycles. Additionally, this position includes general office management duties and providing operational support as needed. Duties involve providing a hands-on approach to problems, planning, and people associated with all aspects of the IT Dept, actively leading teams in problem solving efforts, and identifying and removing barriers that prevent attainment of project goals. Work is performed with considerable self-direction and collaboration under the direction of the Director, Innovation & Technology. What Would You Do?
Administrative and Analytical Work:
Prepare a variety of routine and special reports from source material, including confidential or sensitive information. Assist in researching, developing, and drafting policies, procedures, and guidelines. Perform periodic quality audits to ensure standards are met. Record and distribute meeting notes Initiate and complete special projects as directed by the Director Conduct research and compile information for management.
Procurement:
Coordinate the procurement of technical components and services. Manage the purchasing lifecycle for IT assets, resources, services, and solutions. Tasks include researching products, submitting POs, ordering from vendors, confirming receipt, updating tracking systems, and ensuring accurate and timely processing of invoices and payments.
Contract Management:
Assist with the contract workflow and review process. Assist in tracking technology licenses and subscriptions. Ensure timely contract, subscription, and agreement reviews. Oversee contract renewals and cancellations to ensure deadlines are met.
Resource Management:
Track assets throughout their lifecycle, from order to disposal. Provide reports on anticipated needs based on planned projects and asset replacement cycles Coordinate the surplus/disposal of assets and inventory. Communicate asset and related information to internal or external vendors and partners. Perform reconciliation tasks between data and physical sources. Coordinate and, when necessary, facilitate the transfer of assets, resources, and confidential materials between locations, users, and departments
General Office Management:
Prepare company purchasing card reports. Organize departmental travel and conference arrangements. Liaise with departments, managers, and vendors to ensure seamless operations. Assist with monitoring and managing the departmental budget.
Operational Assistance:
Perform standard operational tasks to support the IT team. Perform computer wiping and imaging as needed. Assist with departmental and organizational projects. Conduct periodic quality audits to maintain high standards. Other duties as assigned What Do You Need To Have? Possession and maintenance of a valid State of Florida Driver’s License upon hire with eligibility based upon evaluation of a Motor Vehicle Records (MVR) driving report. Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations
Education and Experience :
Eight (8) years of progressive experience in management, operations, administrative analysis work, that includes one (1) year of program/project management, management operations, or information technology project systems experience including team leader or supervisory training; or Associate’s degree in public administration, business administration, computer science, or a related field and six (6) years of experience as described above; or Bachelor’s degree and four (4) years of experience as described above; or An equivalent combination of education, training, and/or experience.
