The PMO Business Analyst plays a critical role in collaborating with Project Managers (PMs) to ensure the successful delivery of projects on time, within budget, and with high quality. This role involves writing business requirements, defining project scope, developing business cases, and providing valuable analysis to support data-driven decision-making. The PMO Business Analyst also ensures adherence to project management processes, streamlines documentation efforts, and delivers detailed reports, enabling Project Managers to focus on driving successful project outcomes.
Documentation & Compliance:
Responsible for ensuring project documentation is accurate, well-organized, and compliant with industry regulations and internal policies. Write and maintain essential project documents such as business requirements, charters, business cases, memorandum of understanding (MOUs); develop, maintain, and manage project documentation, including business requirements, process flows, risk assessments, and compliance reports; ensures adherence to project management processes and change control; implement best practices for document version control and archiving; collaborate with stakeholders to capture, analyze, and refine business and functional requirements.
Scope & Business Case Development:
Define project scopes, develop business cases, and ensure alignment with business objectives. Collaborate with stakeholders to define project scope and develop clear business cases; ensure business cases align with strategic goals and provide clear justifications for project investments; identify and document project constraints, assumptions, and dependencies; facilitate discussions with business units, IT, and leadership to gather requirements and expectations; conduct gap analyses and feasibility studies to support decision-making; work closely with PMs to ensure proper alignment of business needs with project execution.
Analysis & Reporting:
Evaluate project performance, generating insights, and ensuring data-driven decision-making; conduct analysis and generate reports on business systems, application, project-related data, performance metrics, project status, budget, and risks; work closely with PMs, business leaders, and stakeholders to identify reporting needs; deliver reports and presentations that effectively communicate project health and business impact.
Requirements Gathering & Stakeholder Collaboration:
Engage with stakeholders, gather business and technical requirements, and ensure alignment between business needs and project execution; facilitate requirement-gathering sessions, workshops, and interviews with key stakeholders; ensure requirements are complete, consistent, and aligned with business objectives; act as a liaison between business units, IT teams, and PMs to ensure shared understanding of project goals; manage stakeholder expectations by providing clear updates on project progress and requirement changes; identify potential risks related to requirement gaps, scope creep, and stakeholder misalignment.
Project Tracking & Risk Management:
Monitoring project progress, identify and track risks and issues, and ensure timely delivery of initiatives; track project milestones, deliverables, and dependencies to ensure timely execution; collaborate with PMs and teams to ensure adherence to scope, budget, and timeline; proactively identify project risks, assess their impact, and develop mitigation strategies; maintain a risk register and update stakeholders on risk exposure and mitigation efforts; work closely with business units, IT teams, and leadership to align project tracking and risk management efforts; facilitate risk assessment workshops and communicate risk management plans effectively; provide clear and concise reports on project risks, issues, and mitigation strategies to stakeholders. Project Managers:
Assist PMs in planning, executing, and monitoring projects by providing data-driven insights, streamlining processes, and ensuring alignment with business objectives; assist PMs focus on strategic project management tasks by handling documentations, testing plans, reporting, quality assurance, and adherence; assist PMs in developing project plans, timelines, and resource allocations; track project deliverables, milestones, and dependencies to ensure timely execution; support the preparation of project documentation, including status reports, risk assessments, and presentations; coordinate meetings, prepare agendas, and document key action items for follow-up. All other duties as assigned. Minimum and Additional Requirements A bachelor’s degree in computer science, business analytics, or other IT related field and five (5) years of experience; an associate’s degree in computer science, business analytics, or other IT related field and seven (7) years of experience; or a high school diploma and nine (9) years of experience in business analytics or project management. Certified Business Analysis Professional (CBAP) or PMI Professional in Business Analysis (PMI-PBA) certification is required.
Working knowledge of the following:
Microsoft Windows, Microsoft Office, Microsoft Project, XML, Microsoft TFS, Adobe Acrobat, Internet Explorer and other internet browsers, SharePoint. Preferred Qualifications Project Management Professional (PMP) certification is a plus. Familiarity with ITIL, Agile, or other relevant methodologies is beneficial. Experience with Microsoft PowerApps, PowerBI, and the Microsoft suite of products is advantageous. Comprehensive knowledge of South Carolina court operations at the Summary, and/or Circuit, Appellate court level, or experience in an attorney’s office, judicial office, or other legal setting. Two years’ experience with OnBase administration, installations, customizations and support maintenance.
