We are currently hiring for a Travel and Procurement Specialist to work in our Huntsville, Alabama office. Office hours are 8am to 5pm Monday through Friday.
Job Summary:
The Travel & Procurement Specialist is responsible for managing employee travel arrangements, processing travel expense reimbursements, and supporting purchasing activities in compliance with federal regulations, internal policies, and contractual requirements. This dual-function role ensures cost-effective travel, accurate financial reporting, and compliant acquisition of goods and services to support program success.
Key Responsibilities:
Travel Management:
Coordinate and book travel for employees and consultants in accordance with Joint Travel Regulations (JTR), GSA per diem rates, and company travel policy Review, verify, and process employee travel expense reports and ensure compliance with FAR/DFARS and company guidelines Maintain accurate records of travel authorizations, receipts, and approvals for audits Resolve travel-related issues, including changes, cancellations, and credit voucher tracking Monitor travel budgets and provide reports to finance or program teams as needed
Procurement:
Issue purchase orders and procure materials, services, and equipment per internal requisitions and contractual needs Ensure compliance with FAR/DFARS, organizational purchasing policies, and small business subcontracting plans Obtain competitive quotes and perform price analyses Maintain procurement documentation including justifications, vendor quotes, and approvals Track open orders and delivery timelines; communicate with vendors to resolve delays or discrepancies Support subcontract setup and monitoring in coordination with Contracts and Program teams Assist with vendor onboarding and W-9 collection
Qualifications:
Required:
Associate’s or Bachelor’s degree in Business, Finance, or related field OR equivalent work experience 2+ years of experience in travel coordination and/or procurement in a government contracting environment Working knowledge of FAR/DFARS and GSA travel regulations Strong proficiency in Microsoft Excel and accounting or ERP systems Excellent organizational and communication skills Attention to detail and ability to manage multiple priorities Must be a
US Citizen Preferred:
