Position:

The Purchasing, Inventory & Supply Coordinator plays a key role in supporting aircraft readiness within a Part 135 Technical Operations Department. Reporting to the Director of Maintenance this hands-on position requires the team member to perform material purchasing, tracking, receiving, stocking, issuing and shipping functions. They will also be required to accurately enter parts, materials and aircraft tooling into the inventory control system to ensure compliance with both the FAA and financial Generally Acceptable Accounting Practices (GAAP). In addition to maintaining accurate inventory counts and records, this position will communicate with vendors, suppliers, Tropic Ocean Airways financial department, monitor stock levels and supplies in support of the aircraft maintenance department.

Key Responsibilities:

Procurement & Vendor Coordination Procure aircraft parts, tooling, consumables, and coordinate vendor services in support of aircraft maintenance. Maintain relationship with suppliers to facilitate timely deliveries, favorable pricing and Aircraft-on-Ground (AOG) support. Inventory & Parts Handling Ensure Certificates of Conformity, 8130 and other required serviceability documents are archived in inventory control system during the receiving inspection process. Follow established inventory receiving procedures, labeling, and properly store all incoming parts. Utilize inventory control system to track usage and maintain min-max levels. Monitor & Control chemical shelf life, tool calibration and ensure compliance with FAA regulations. Support Maintenance & AOG Coordinate and support maintenance personnel by ensuring parts availability for schedule aircraft maintenance events utilizing pre-pull and kitting techniques. Respond rapidly to AOG situations, including after-hours parts support and delivery coordination. System & Records Management Maintain records using software tools such as Veryon and Microsoft Excel. Acts as focal point between maintenance department and finance for inquiries and audits. Ensure accurate entry of part numbers, serials, and certifications into the inventory control system. Maintain FAA and Financial compliance in support of internal & external audits.

Essential Skill Set:

High school diploma or GED required: Associate degree or higher preferred. 2 or more years of hands-on inventory & supply experience with aviation inventory or logistics in a Part 121, 135 or 145 operations. Basic understanding of FAA regulations for aircraft parts receiving, handling, storage, document retention and certification. Familiarity with Veryon, CAMP, Corridor or similar maintenance and inventory tracking systems. Proficient in Excel, Word, Teams, Outlook and other Microsoft software. Knowledgeable of hazardous materials handling and DOT shipping regulations. Self-starter with strong attention to detail and ability to adapt quickly. Able to occasionally lift 50 lbs. and operate within a hangar or warehouse environment. Prior experience supporting AOG and time-sensitive procurement demands.
