Summary:
Responsible for sourcing, procurement and coordination of goods, services and equipment. Supports construction, facilities management, security, property management, furniture fixtures and equipment (FF&E), IT and other assigned departments system-wide. Contributes to the achievement of established service levels with the goal of providing high quality, efficient and cost effective goods and services. Provides timely and accurate processing of requisitions, ensures compliance and closure of purchase orders (POs) within the procure to pay and source to settlement processes.
Responsibilities:
Reviews purchase requests, ensuring automated and manual requisitions are complete, with accurate information to facilitate error free procure to payment process. Assures all orders have proper authorization, complete supporting documentation, using appropriate/approved suppliers, account numbers, price, unit of measure, service description and delivery information. Assures the delivery and communication to customers is coordinated. Routinely communications with suppliers to validate information and finalize transactions accurately. Updates customers in relation to their orders. Ensures all purchase orders are completed.
Assists Director and Manager in Supply Chain Procurement with planning of system-wide Supply Chain Management activities. Supports special projects and performs other duties as assigned.
Facilitates suppliers’ participation in project meetings and assures that selections are finalized/approved and deadlines are met.
Prepares, solicits, and evaluates technical Request for Quotation (RFQ) documents and determines if potential suppliers meet specified requirements; advises team members or management on the appropriate supplier and specifications to be used. Collaborates with Strategic Sourcing to execute sourcing initiatives.
Enhances professional growth and development through participation in educational programs, reading literature, and attending in-services, meetings and workshops.
Maintains up-to-date detailed project list and shares briefs in various forums. Communicates with stakeholders and project leads of any delays. Works with assigned areas to develop and maintain procurement information and standards.
Routinely meets with internal and external departments to coordinate the procurement of goods and services. Assures customer compliance of Supply Chain policies and procedures. Contributes to the maintenance of files regarding price lists and catalog information. Responsible for maintaining current knowledge of product changes/conversions.
Maintains thorough knowledge of Materials Management Information Systems (MMIS) and other software related to the job functions.
Responsible to ensure that all Purchasing activities are compliant with Supply Chain and MHS policies and/or procedures. Uses all systems and follows all processes per department expectations to assure quality, efficiency and accuracy. Provides input for revisions of systems and processes based on operational experience.
Acts as a liaison with Finance on project budgets, expenses and close outs. Participates in RFPs RFQs, RFIs or Competitive Bids/Quotes processes.

Required Work Experience:
Five (5) years of experience in Supply Chain or Procurement including a knowledge of strategic sourcing.

Equivalent work experience may substitute for education requirement.
Equivalency for degree: Associate’s degree plus five (5) years of experience.
