Description The purpose of the positions is to perform advanced clerical, administrative, reception, and staff assistant duties for the assigned department. Examples of Duties The following statements describe the principal functions of this job and its scope of responsibility but shall not be considered an all-inclusive listing of work requirements. Individuals may perform other duties as assigned, including working in other functional areas to cover absences or relief, to equalize peak work periods, or otherwise to balance the workload. Performs duties of a staff assistant nature and participates directly in the work for the individual(s) supported. Secures details of specialized information, coordinating office work and providing information regarding the services and operation of the unit. Functions as receptionist for the department(s), and occasionally assumes other clerical or administrative duties as needed. Keeps appointment calendars and schedules appointments. Receives and screens calls and refers callers to other employees. Takes notes and minutes of conferences, meetings, and functions. Prepares correspondence, reports, letters, as assigned. Sets up and maintains specialized office files. Files letters, reports and related technical information in the prescribed manner. Assembles information. Uses computer-based word processing, spreadsheet, and database software to prepare letters, forms, reports, schedules, manuals, booklets, requisitions, purchase orders and related paperwork. Types information or enters data into computer and tablets as required. Retrieves data and composes reports. Performs research and retrieval of records, both digital and written. Assists in the preparation and maintenance of department records. Maintains office supplies. Other duties as assigned by immediate supervisor or department. Regular attendance. Assists in after hour emergency administrative support as required. Emergency Response County employees are required to report for work during a state of emergency and are subject to recall around the clock for emergency response operations which may include duties other than those specified in this job description. Typical Qualifications Minimum Qualifications High school diploma or equivalent.
Three (3) years’ experience involving secretarial / clerical duties including the operation of a personal computer and tablet, data entry and report development. Licenses, Certifications, or Registrations Must possess and maintain a valid Florida Driver’s License and be insurable by current insurance carrier.
Complete necessary certification for NIMS compliance. A combination of education, training and experience may be substituted at the County’s discretion. Required Competencies Knowledge of
