Summary:

The Procurement Coordinator is responsible for overseeing the procurement process during the project bid stage along with maintaining and preparing key estimate and proposal documentation between various client-based platforms in conjunction with our internal company sites. This role demands meticulous attention to detail, excellent organizational skills, and a thorough understanding of the procurement and proposal process to ensure the high quality and timely submission of bids.

Essential Duties and Responsibilities:

Manage and oversee all procurement-related activities throughout the estimate life cycle including, but not limited to, bid solicitation, assisting with bid evaluations, establishing and maintaining key relationships, develop pricing in estimate software programs, and create key project metrics during bid evaluation stage.
Assist in obtaining, organizing, and archiving all bid documentation and amendments from various sectors.
Conduct various administrative tasks throughout the estimate in preparation for management reviews and the final delivery of proposals.
Manage the engineering and estimating documentation flow between various client portals and our internal sites during the estimating and pre-construction portions of the project cycle.
Create and maintain database and tracking for procurement development and awards on all bid pursuits.
Coordinate the collection of information from subject matter experts and technical writers within the company to ensure timely data gathering for proposals.
Work with vendors/suppliers/subcontractors daily to establish and maintain relationships.
Oversee contract set-up and negotiations with vendors/suppliers/subcontractors for project execution.
Manage and utilize boilerplate content, including narrative and graphics, from previous proposals to enhance current submissions.
Edit and proofread proposals and related documents for format, grammar, style, punctuation, and spelling to ensure professional quality.
Assist in the preparation and coordination of draft proposal evaluation packages and manage draft proposal reviews.
Develop and maintain an electronic archive for proposal storage and a tracking system to monitor proposal status.
Create PowerPoint presentations and supporting materials for business development and proposal presentations.
Perform additional duties as assigned to support the estimating team.

Requirements:

Experience in bid solicitation and procurement process through estimating job execution.
Experience in manipulating and formatting graphics, such as tables, photographs, and maps, within proposal documents.
Ability to process and manage information accurately and efficiently, with a strong attention to detail.
Capability to balance and manage multiple tasks simultaneously within compressed timelines.
Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint), including experience with large document formatting using style sheets.
Familiarity with Microsoft SharePoint for document control and proposal collaboration.
Willingness to work extended hours, including evenings and weekends, to meet critical proposal deadlines.

Education and Experience:

Minimum of two (2) to five (5) years of relevant experience in procurement and/or solar experience, with a specific expertise in vendor and engineering collaboration within the solar market.
Bachelor’s degree in Marketing, Communications, Business, or a related field is preferred.
Demonstrated strong analytical and organizational skills, with exceptional attention to detail.
Superior written and verbal communication skills, with proven editing and proofreading abilities.
