Job Summary Hybrid position has dual duties assisting the department with general Procurement and Purchasing Card support. The position assists with review of all purchasing card transactions and help with Purchase Orders (Pos) for compliance with Department of Administrative Services (DOAS), Board of Regents (BOR or USG) and University policies and procedures. Provides support to the procurement team and campus departments and serves as a campus subject matter expert on requisitions and statewide contracts. The position provides a high level of customer service to both internal customers and external Suppliers. Will ensure all procurement of goods and services are in compliance and verify POS meet standards including but not limited to, order of precedence, backup documentation and proper procurement and financial coding. Position incumbent must be able to pass a credit check and assist with the management of the university p-card program. Responsibilities 1 – Review, process, edit and dispatch Purchase Orders in accordance with DOAS and BOR procurement policies and guidelines for all goods and services. Will analyze purchase orders to ensure correct amount, order of precedence and NIGP codes are utilized. Approved Purchase Orders are sent to Suppliers, and they manage any follow up with university partners. 2 – Assist with managing, administering and maintaining the Purchasing Card (P-Card) program for UWG. Reviews p-card transactions for compliance with DOAS, BOR and university policies and procedures. Assists with conducting new and refresher training for P-Card users as required by DOAS. Assists with reconciling and preparing journal entries for monthly statement. Determines appropriate action for P-Card violations. 3 – Provides a high-level customer service to internal campus customers and external Suppliers representing Purchasing Services, and UWG administration¿s vision and strategic initiatives in a professional manner. Assists faculty and staff by providing research into the best methods for acquiring goods and services through Statewide Contract, Agency Contract, Consortia Contract or Open Market Purchases. Shares best practice insight for purchase orders or p-card use, recommends actions and services as a campus subject matter expert on requisitions. 4 – Assists with development and training of campus users on system use, Purchasing policies and procedures updates. Cross train with other department members and assist with other duties as assigned. Required Qualifications Required Education High School Diploma/GED Required Experience Two or three years of experience in purchasing or business administration field or experience in a fast-pace environment, leadership, customer service role, or an Associate’s Degree in Business Administration, Accounting, or Finance. Minimum of two years of customer service experience. General knowledge of state or government accounting policies and processes. Georgia Certified Purchasing Agent (GCPA) achieved within six months of hiring, and Georgia Certified Purchasing Management (GCPM) qualification within 18 months of hiring. Due to purchasing responsibilities, must be able to pass a credit check and assist with the management of the university p-card program. Preferred Qualifications Preferred Education Bachelor’s Degree Preferred Experience Bachelor’s degree in accounting or a business concentration with 3¿5 years of experience in purchasing, with at least 1 year in a higher education setting. Georgia Certified Purchasing Agent (GCPA) and Georgia Certified Purchasing Management (GCPM) Certification. Higher Education Procurement Experience and other Procurement Certifications. Proposed Salary $21.66 – $28.20 Hourly. Paid on a Bi-Weekly Basis. Knowledge, Skills, & Abilities

KNOWLEDGE/SKILLS/ABILITIES

Proficient in Microsoft Office Suite with strong skills in Excel, including data analysis tools. Ability to assist with audits, analyze procurement data, and identify trends or discrepancies. Excellent written and verbal communication skills; capable of delivering presentations and documentation effectively. Strong interpersonal skills, high attention to detail, and sound analytical judgment. Adapts quickly to shifting priorities to meet multiple deadlines and departmental schedules. Demonstrates superior customer service and relationship management abilities. Applies training and knowledge to a variety of procurement situations with minimal oversight. Strong time management and organizational skills; able to prioritize work based on urgency and importance.

Lifting up to 15lbs Office Environment – Work normallyperformed in a typical interior work environment.
