PURCHASING AGENT
Play a key role in helping world-renowned wines and craft spirits make their way from Europe, California, Oregon, and elsewhere to Missouri. As a Purchasing Agent, you’ll be part of a passionate, dedicated team ensuring smooth, timely, and fully compliant inventory flow from supplier to warehouse. This position serves as a critical link between our international and domestic suppliers, freight carriers, and internal teams, executing purchase orders, managing inbound logistics, and ensuring compliance with all alcohol-related regulations. This role is ideal for someone who thrives on detail, enjoys cross-functional coordination, and appreciates the a collaborative culture.
KEY RESPONSIBILITIES
Purchase Order Execution Generate, issue, and track purchase orders based on purchase forecasts provided by brand managers. Communicate order confirmations, lead times, and fulfillment updates with suppliers. Monitor backorders and proactively resolve supply disruptions. Inbound Logistics Coordination Schedule and coordinate freight shipments (LTL, FTL, container) with vendors and carriers. Track inbound shipments to ensure on-time delivery and communicate ETAs to warehouse and sales teams. Work with the warehouse team to align receiving schedules and resolve discrepancies. Compliance & Regulatory Oversight Ensure all incoming shipments are compliant with federal and state regulations Manage brand registration and renewal processes with state regulatory bodies. Maintain up-to-date documentation for licensing, import permits, and other regulatory filings. Cross-Functional Collaboration Coordinate with the accounting team for invoice matching, payment processing, and resolving discrepancies. Collaborate with sales and portfolio managers to communicate inventory status and arrival timelines. Support internal audits and documentation requests related to purchasing and compliance.
KEY QUALIFICATIONS
2+ years of experience in purchasing, logistics, or compliance, preferably in wine, spirits, or a regulated industry. Strong attention to detail — accuracy and thoroughness are critical in this role. Background in accounting or familiarity with accounts payable/invoice reconciliation is highly preferred. Excellent communication skills and the ability to manage multiple priorities in a fast-paced environment.
PREFERRED SKILLS
Experience working with freight and customs brokers. Familiarity with regulatory agencies such as the TTB and state alcohol control boards. Ability to identify and resolve operational inefficiencies across purchasing and logistics.
