Full Job Description Position Summary:
The Purchasing Coordinator is responsible for the accurate and timely processing of equipment invoices across assigned branches. Key responsibilities include cross-referencing internal spreadsheets with rental portals, maintaining current and accurate equipment logs, and assisting with the resolution of invoice discrepancies and credit issues. This role also provides support to the Equipment Purchasing Agent and plays an important part in maintaining strong relationships with both vendors and internal branch teams. Additional administrative tasks may be assigned as needed to support departmental operations .
Essential Duties and Responsibilities:
Work hours 40 hours a week – Monday – Friday. Possible overtime may be required from time to time based on workload and processing deadlines.
Work Performed:
In the branch office.

Daily Functions:
Review and process equipment invoices for assigned branches, ensuring accurate pricing and verifying that charges are correct to prevent overbilling . Follow up on outstanding credits and resolve invoice discrepancies in a timely manner. Monitor and work through vendor statements to maintain the current status in invoice processing. Verify that the equipment log aligns with the equipment portals to ensure accuracy and consistency. Serve as a backup to the Equipment Purchasing Agent when required. Distribute weekly equipment logs for all branches to ensure visibility and accuracy of rental and purchase activities. Build and maintain effective working relationships with vendors and branch staff to support efficient communication and issue resolution. All other duties as assigned
Skills/Qualifications :
College degree desirable. Strong computer skills with proficiency in Excel, Word, and data entry. High energy yet the ability to focus on task at hand. Familiarity with invoice processing. Excellent communication skills, ability to manage multiple priorities and meet deadlines.
Work Environment/Working Conditions :
Employee will work in a busy, informal, yet professional, office environment. The noise level is usually moderate but may be high while colleagues interact with vendors and other company employees.
