Job Summary
Under the direction of the Purchasing and Capital Improvements Manager, performs technical functions in purchasing, and inventory management. Responsibilities include processing purchase orders, tracking deliveries, assisting with fixed asset inventory, and ensuring compliance with purchasing laws and guidelines.

Essential Duties and Responsibilities:

Process, sort, distribute, and file purchase orders.
Post requisitions to computer and to log.
Tracks status of orders with vendors to insure timely delivery.
Receives and verifies goods against purchase orders.
Create new vendor accounts in Colleague.
Verify and disburse supplies from central stores and order supplies as needed for central stores.
Assists in updating and maintaining central stores catalog and annual central stores inventory.
Oversees all aspects of vehicle maintenance including managing repairs, inspections, and preventive maintenance.
Responsible for listing, selling, and coordinating client pick-up of all surplus property including scrap metal.
Assist with intermittent and annual equipment inventory audits.
Provide back-up to Purchasing and Capital Project Manager including but not limited to approving and processing e-requisitions after auditing for completeness, accuracy and adherence to purchasing policies.
Assist with the college’s competitive purchasing process.
Assist with year-end closeout, audits, and inspections.
Serves on institutional committees as appointed.

Key Skills and Knowledge:

Principles and practices of PCs and related software.
Inventory control systems and fixed asset management.
Purchasing laws, rules, and regulations affecting the college.
Computer systems (i.e., spreadsheets, word processing, Datatel, e-procurement, etc.).
NC Community College System equipment guidelines.
Communicate effectively verbally and in writing.
Operate a PC and related software.
Calculate prices, discounts, and extended totals.
Establish effective working relationships with administrators, employees, vendors, and others.
Communicate laws and procedures relating to procurement, purchasing, and inventory control.
Drive a forklift.

Education and Experience:

Any combination of education and experience that demonstrates possession of the requisite knowledge, skills, and abilities. A typical way to obtain these would be:
Associate’s Degree in Business Administration or Accounting.
One – Three years of experience in purchasing, equipment coordination, and general office operations.
