Procurement Coordinator

FULL-TIME WORK HOURS

Mon through Fri (8am – 4:30pm) 30-minute lunch break

BENEFIT PACKAGE

PRIMARY FUNCTION

The Procurement Administrative Assistant will provide administrative support to the procurement department. They assist with maintaining procurement records, managing purchase orders, and communicating with suppliers.

A. KEY ROLES

(Essential Job Responsibilities): Assist with processing purchase orders, confirmations, and backorders in TRUE system with 100% accuracy Process vendor deliveries, document discrepancies, and maintain defect/receiving records Match bills of lading with orders and distribute delivery schedules to branches Assist in tracking backorders and communication to stakeholders Assist in ensuring adherence to order deadlines Utilize digital filing system for procurement documentation and compliance Assist in analyzing vendor performance data Assist in the coordination of specialized material procurement for branches Assist in arranging replacement of defected materials Support business process improvements and quality control initiatives

PHYSICAL REQUIREMENTS & WORKING CONDITIONS

Ability to sit for extended periods (6-8 hours daily) Near visual acuity for document and screen review Manual dexterity for computer work and document handling Occasional lifting up to 15 pounds Mobility to navigate office environment Professional office setting with standard business equipment Fast-paced environment with strict deadlines Collaborative team atmosphere Occasional warehouse visits for receiving verification Climate-controlled indoor environment Standard office lighting and ergonomic workstations

SKILLS/KNOWLEDGE REQUIRED

High School diploma with 2 years of role relevant work experience. Experience within construction & manufacturing is preferred. Experience with quality control and defect tracking is preferred Great data entry and typing abilities Proficiency with Microsoft Word & Excel Strong attention to detail and record-keeping abilities Strong organizational and time-management skills Strong written and verbal communication Ability to work independently and solve problems in a fast-paced environment Basic understanding of accounting and procurement principles Have an interest in construction project timelines
