SummaryThe purpose of this role is to support the processes that fallunder the responsibility of the Procurement group. Coordinates withProcurement team members, Purchasing, Legal, Finance, vendors, andother functional groups as needed. This role performs activitiessuch as contract execution, new vendor set-up and maintenance,simple negotiations, prepares for audits and inspections, maintainspreferred supplier list, maintains and tracks Procurement trainingfor compliance, troubleshoots payment delays, and other duties asneeded.

Responsibilities Contract Coordination:

Collate exhibits tocreate contract draft, review contract documents for completenessand accuracy; ensure compliant routing of contracts for internalapprovals and signatures, based on amount and signing authority;create Purchase request from executed contract; and update CLMsystem/trackers throughout the process.

Conduct SimpleNegotiations:

Review contractual amendment details against originalcontract. Ensure internal stakeholder and Finance alignment withscope of work and budget; apply judgment to challenge the need forchange request; manage interactions with Vendor, finalize, andexecute amendment.

Audit Ready/Inspection Prep:

As per the auditrequirement and processes, storage of critical procurementdocuments is required to be Audit/Inspection ready at all times;these documents must be clearly filed and retrievable. Performquality audits on procurement documents filed by the Procurementteam, periodically, to ensure audit readiness. Review and interpretstored documents to show appropriate information and follow updirectly with individuals to close any gaps. To prepare for anAudit/Inspection, the first step is to create a Vendor List for thescope of the inspection. Work with a cross-functional team ofProcurement, QA, and Stakeholder Leads to ensure all requiredvendors and documents are identified, reviewed, stored, andavailable when needed. Prepare redaction documents for aninspection or audit.

Maintain Preferred Supplier List:

Update andensure the list is accurate on a regular cadence. Track Procurementpolicy training adherence, ensuring all employees complete therequired training on the timeline provided. Update trainingmaterials and employee listings as needed. Investigate vendorpayment delays raised by Purchasing and Accounts Payable. Analyzesystem data, assess root cause factors, and determine actionsneeded to resolve the situation. Coordinate with Buyers, Business,Finance, Purchasing, Vendor, and Accounts Payable as needed.

VendorSet-Up Maintenance:

Onboard/update vendors in Zycus with vendorcontact and company information. Maintain a status tracker andfollow up with vendors for timely completion of profiles including

document. Confirm final profile and submit in Zycus forSAP creation. As relevant, liaise with the Quality Assurance groupto obtain QA risk rating and audit status for RDP vendors. Maintainthis information centrally for all RDP vendors for up-to-dateevaluations. Review and update questions and pending statuses withthe Quality Assurance group on a regular basis. QualificationsSuccessful candidates will be able to meet the qualifications belowwith or without a reasonable accommodation.
