Job Description
Purchasing Coordinator 2.9 2.9 out of 5 stars 3036 Alt Boulevard, Grand Island, NY 14072 Job Summary We are seeking a detail-oriented and proactive Purchasing & Order Coordinator to join our team! In this role, you will be responsible for processing purchase orders, coordinating with specified vendors, ensuring order accuracy, and facilitating communication across internal departments.
Essential Functions:
1. Create and issue purchase orders (POs) to approved vendors in a timely and accurate manner 2. Review and approve artwork proofs from vendors to ensure compliance with brand and quality standards 3. Confirm order acknowledgments and verify order details for accuracy with vendors 4. Track order progress and proactively communicate with vendors to resolve any issues or delays 5. Adjust and update POs to reflect changes in quantities, pricing, or delivery requirements 6. Maintain detailed and organized records of all purchase-related communications and documentation 7. Collaborate with internal departments (Customer Service, Accounting, and Logistics) to provide updates on order status, shipping information, and issue resolution 8. Assist in resolving issues such as credit holds, shipping errors, or order discrepancies

Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
Position Type and Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m.
Travel:
No travel is expected for this position.
Required Education and Experience:
1. High school diploma or GED Previous experience in purchasing, procurement, order coordination or customer service
Preferred Education and Experience:
1. Associates degree 3+ years in an equivalent or related field
