Exempt Position Summary:
This position is responsible for the quoting, order, entry and purchasing duties, as well as overseeing other general administrative functions for the Birdsboro facility. This role requires an independent thinker with a strong attention and focus on detail and accuracy and will work closely with management, sales, engineering, and the production team, as well as interactions with customers, vendors, and the public as needed. Role Responsibilities (in order of priority):
Quote Management:
Generate quotes for spare parts Route quote requests for molds and refurbishments to estimators and generate formal quotes based on estimates provided. Create and maintain quote folder structure on shared network drive Enter Quotes into Visual ERP system
Order Entry:
Convert quotes to orders. Send Order Acknowledgements to customers. Create and maintain quote folder structure on shared network drive for mold and refurbishment orders
Purchasing:
Order production material utilizing ERP system Order MRO (maintenance, repairs, and operations) for the site. Research, dispute and correct invoice discrepancies Research, evaluate, and select suppliers. Identify opportunities to reduce cost and improve lead times.
Administrative:
Maintain and oversee all office machines (fax, postage, copiers, etc.). Arrange for lunches and refreshments for events and visitors. Plan and coordinate company and employee events with Human Resources Manage food and drink vending for the break area. Answer outside calls and redirect them as required. Other duties as assigned Travel required :
Minimal Qualifications Required:
High School diploma. – Associates or continuing education in business curriculum desired. 3+ years’ experience quoting and/or purchasing role in an industrial manufacturing environment. Prior experience with other office management/admin duties is desired. – Experience in roles supporting a manufacturing operation is preferred. Ability to learn and use new software and reporting to assist in efficient and cost-effective decision making. Strong Microsoft software skills; Excel, Word, Outlook & Teams Ability analyze data and formulate plans and courses of action based on it. Ability to work independently without constant supervision or direction. Ability to be dynamic and coordinate multiple priorities with the appetite to take on new responsibilities as this role evolves. Strong sense of teamwork and working towards the good of the organization.
Dominant Physical Requirements & Essential Job Functions:
This position requires the incumbent to be extremely mobile to attend various meetings, assist customers and vendors and meet with individuals on the production floor. (consistently) This role requires autonomy and the ability to work independently and make informed decisions based on data from our customers, the markets we serve, and collaboration with internal team members. This position will spend time on the production floor and will therefore need to be able to reach above head, bend, squat, stoop, and twist. (intermittently) Must be able to lift up to 40 lbs (occasionally) This position must be able to meet all PPE requirements of the facility; safety glasses, safety shoes, etc. (consistently) The incumbent must be able to effectively communicate with employees at all levels within the organization, vendors, customers, and the public. (consistently) Regular and predictable attendance is an essential job function.
