Job Responsibilities
The Inventory and Procurement Coordinator is responsible for managing inventory control including surplus, shipping and receiving operations, mail processing, record retention, and key inventory. Additionally, this role supports the procurement process by assisting in the procurement of goods, supplies, and services, ensuring compliance with state and federal regulations. This position provides essential support to the Procurement Manager and ensures efficient and accurate processing of procurement documentation and inventory management.
Responsibilities of the Supply Specialist III include:
Develops and implements a detailed inventory control system; Maintains accurate records of all equipment, including location, value, and acquisition; Develops methods for conducting inventories and identifying equipment; Manages the repair and disposition of unused and outdated inventory; Liaises with state offices regarding inventory matters and arranges the transfer of surplus items; Manages key distribution, maintains logs, collects keys at the end of employment, and reassigns keys as needed.
Manages and directs activities associated with shipping and receiving, including verifying, documenting, tagging, and setting up new equipment; Prepares reports on new acquisitions and manages the return of damaged goods; Receives, inspects, and delivers merchandise to proper locations; Processes items in Colleague to initiate invoice payments; Serves as the vendor and customer liaison for college supply and service matters; Assists employees with outbound shipments via UPS, FedEx, USPS, etc.
Assists in the preparation and processing of procurement documentation under the guidance of the Procurement Manager; Verifies and ensures accuracy of procurement requisitions, including correct budget index and account numbers; Supports the procurement process by tracking procurement documentation and maintaining accurate procurement files; Assists in verifying vendor information, prices, and fund availability for purchases; Helps prepare formal purchase orders and tracks the status of procurement requests; Supports the issuance and tracking of procurement cards, ensuring proper use and documentation; Assists in conducting procurement training sessions as needed.
Sorts and delivers incoming mail to employee mailboxes; Processes outgoing mail and delivers it to the post office; Maintains and arranges repairs for the postage machine as needed.
Manages the college’s record retention, including recording, storage, and disposal of records according to State of South Carolina Retention Laws; Coordinates record collection, storage, and disposal with faculty, staff, vendors, and state entities.
Performs other duties as assigned.
Minimum and Additional Requirements
A high school diploma and work experience directly related to the area of employment. Must have a valid driver’s license. Preferred Qualifications
An associate’s degree in a related field or high school diploma and two (2) years related work experience. Knowledge of supply practices and procedures. Knowledge of inventory control practices and procedures. Knowledge of accounting and bookkeeping procedures for property and inventory control. Ability to communicate effectively. Additional Comments
Direct supervision provided by Procurement Manager. Travel to NETC campuses is required. Ability to lift up to 50 lbs. Ability to sit and stand for long periods of time.
