Job Responsibilities:

The Procurement Coordinator plans, coordinates and/or performs complex administrative/office management duties and responsibilities to ensure the smooth running of the agency’s Procurement area. Handle specific tasks with internal Request to Issue Contracts, Request to Issue Grants, and Purchasing Requisitions to include logging, tracking, monitoring, and following up with Program Areas when needed. Track Request to Issue Contracts and Grants and contracts for execution before end of contract date. After contract is executed, ensure that contracts are uploaded and organized in the DSS Systems/SharePoint/OnBase. Collaborate with IT Division on any updates needed to the Onbase/SharePoint system. Track and log Program Evaluation and Contract Monitoring reports and corrective action plans in Onbase. Send quarterly reports to State Fiscal Accountability Authority/Division of Procurement Services and store data in a shared system. Perform and manage general office management processes for the Procurement and Program Evaluation and Contract Monitoring and its management staff, including but not limited to: managing calendars and appointments; communicating policy and procedural changes to the division; compiling data and creating reports, files and binders as appropriate; maintaining and ordering supplies; managing division equipment (e.g., copiers) and securing repairs as needed; managing general typing, filing, and related duties professionally, efficiently and with confidentiality. This position will need a P-Card in order to perform necessary office management. Assist as needed with Procurement office morale building activities. Assist Procurement management with research, planning, implementing and coordinating special projects (e.g., internal/external audits). Act as project lead for contractual process mapping and coordinate process improvement efforts. Assist in preparing detailed program reports, formulating and administering administrative policies and procedures; and providing input and/or training in administrative/management practices and procedures resulting in work-flow efficiencies. Record contract data into Sharepoint received from Procurement Managers. Send monthly contract reports to all program areas. Serve as the liaison to Program Areas when requesting a contract from Onbase. Ensures timely processing of requisitions to create shopping carts and purchase orders through

SCEIS SRM

(Supplier Relationship Manager). Performs complex procurement of goods and services within agency certification as needed. Ensures compliance with the SC Consolidated Procurement Code. Performs Red Cross shelter duty or other emergency shelter duty or services as directed. Perform and handle other related duties and special projects as requested. Minimum and Additional Requirements A bachelor’s degree and relevant program experience. An equivalent combination of experience and education may be considered.
