Purchasing Coordinator 3.9 3.9 out of 5 stars Nashville, TN 37207 Position Summary The Purchasing Coordinator is responsible for supporting the procurement process of raw materials, packaging components, and indirect supplies required for the timely and cost-effective production of vinyl records. This role ensures materials are ordered and received in alignment with production schedules, maintains accurate inventory and purchasing records, and builds strong relationships with vendors to maintain supply continuity and quality. Key Responsibilities Procurement & Inventory Coordination Prepare, issue, and track purchase orders for raw materials, packaging supplies, and operational goods. Collaborate with inventory control and production planning teams to ensure material availability aligns with demand. Monitor stock levels and proactively reorder to prevent shortages or overstock situations. Assist with physical inventory counts and cycle counts to reconcile and validate stock accuracy. Vendor Management Communicate with suppliers regarding order confirmations, delivery schedules, delays, and discrepancies. Support vendor qualification and performance tracking initiatives. Develop positive, collaborative relationships with key vendors to promote continuity and responsiveness. Administrative & Reporting Duties Maintain accurate records of purchase orders, supplier agreements, invoices, and receipts. Assist in resolving discrepancies between purchase orders, delivery receipts, and invoices. Prepare purchasing and inventory reports as needed for management. Compliance & Continuous Improvement Ensure purchasing activities comply with company policies and regulatory requirements. Identify and recommend opportunities for cost savings, process efficiency, and sourcing improvements. Support sustainability and quality initiatives by sourcing materials that align with environmental and quality standards.
