Business and Financial Services Job Description The College of Nursing is seeking a highly organized and detail-oriented individual to fill the Procurement and Operations role, reporting to the Budget Director. This position’s responsibilities include procurement activities, management of daily operational tasks, coordination of facilities maintenance requests, and representation of the college in parking•related matters, requiring a blend of administrative acumen and problem-solving skills to ensure the smooth functioning of the college’s operations.
Responsibilities Procurement:
Ensures timely processing of college-wide procurement card purchases, including virtual conference registrations.
Handles college-wide cash and credit card deposits.
Maintains CON Finance & Administration accounts payable/receivable files and ledger files.
Processes new vendor requests and maintains vendor files.
Enters affiliation agreements, receivable/payable contracts, and purchase orders for CON.
Administrative:
Oversee the CON Finance email account, ensuring timely responses.
Maintains and distributes CON visitor parking passes and CON orange dot parking pass check-out system.
Manages CON mailing (campus and FedEx) and coordinates with mail services.
Schedules staff quarterly meetings and weekly FAOIT meetings.
Sets up and maintains RingCentral telephone accounts.
Prepares letters, reports, and records as needed for the CON FAO team.
Facilities:
Manages CON building facilities work order requests.
Assists with the annual parking verification process and serves as the College parking representative.
Manages furniture and equipment installation and surplus, directing RRT or vendors as needed.
Manages copier maintenance, readings, and training.
Qualifications Required Qualifications:
Bachelor’s degree and 1•2 years of related experience.
Preferred Qualifications:
Experience with the University of Tennessee policies and procedures.
SAP or DASH experience.
Knowledge, Skills, and Abilities:
Advanced skill level in Microsoft Word and Excel Suite.
Excellent interpersonal, written, and oral communication skills.
Ability to maintain confidential information.
Professional decision-making and problem-solving skills.
Ability to manage multiple projects and work assignments.
Ability to accomplish projects independently with little or no supervision.
