3K a year 1 day ago Qualifications Microsoft Word Asset management Microsoft Excel High school diploma or GED Accounting 1 year Entry level Full Job Description This position supports the Facilities Services Maintenance & Repair and Utilities Divisions by assisting with the acquisition and management of parts, tools, and materials necessary for both ongoing operations and new system installations. The coordinator plays a key role in maintaining accurate procurement records, researching supply options, and initiating requisitions in alignment with University and regulatory standards. In addition to supporting procurement activities, this role provides oversight of compliance-related programs, including coordination of state-mandated inspections for pressure vessels, elevators, and related systems. The coordinator works closely with internal stakeholders and vendors to ensure all regulated systems remain in compliance, and serves as the primary support to the Procurement and Materials Supervisor for division-wide purchasing functions. Performs the tracking, documentation, and billing processes related to state inspections for various facility programs. Ensure inspection records and associated billing documentation are accurately maintained and submitted in accordance with university procedures. Assist in resolving discrepancies by coordinating with appropriate departments and vendors to ensure timely and accurate processing. Assist in the procurement of supplies, parts, and equipment to support maintenance and repair operations across the Maintenance & Repair and Utilities Divisions. Maintain detailed records of procurement activity, inventory transactions, purchase orders, and vendor communications. Support compliance with all applicable university purchasing guidelines and internal inventory controls. Provide support to assigned personnel involved in procurement and materials handling, contributing to training, development, and performance feedback as needed. Prepare and submit material issue forms in coordination with Central Supply, ensuring timely and accurate distribution of materials. Collaborate closely with the Procurement Office and Warehouse personnel to verify material availability, confirm delivery schedules, and support efficient processing of requests to meet operational and project needs.
Required Qualifications Education:
High school diploma or
GED Experience:
1-2 years’ experience in data processing or procurement procedures.
Knowledge, Skills, Abilities:
Knowledge of accounting or asset management procedures and attention to detail. Ability to take initiative and to make decisions. Ability to work under pressure and meet deadlines. Experience in using Microsoft Excel and Word. Ability to communicate effectively with a wide variety of people. Work Location University of Tennessee
