This position is not just about executive support-it’s about translating vision into execution, optimizing priorities, and ensuring the entire organization functions efficiently. The ideal candidate is highly strategic, detail-oriented, and thrives in a fast-paced environment. They must be a proactive problem solver, an expert communicator, and a highly organized project manager who understands the complexities of real estate development including financing structures and tax credit work.

CEO Key Responsibilities 1. Executive SupportCalendar Management Manage the CEO’s calendar, ensuring alignment with strategic priorities. Schedule and coordinate meetings, travel, and networking engagements. Proactively address scheduling conflicts and optimize time allocation. Prepare agendas, take detailed notes, and ensure follow-ups on action items. Act as a gatekeeper, managing communications and prioritizing requests. 2. Strategic CommunicationLiaison Serve as the primary point of contact between the CEO and internal/external stakeholders. Draft executive communications, reports, presentations, and investor updates. Represent the CEO in meetings, ensuring seamless execution and follow-ups. Translate complex strategies into clear, actionable steps for the team. 3. Project CoordinationBusiness Execution Oversee and maintain awareness of key initiatives related to business development, ensuring alignment with organizational goals. Track and monitor project timelines, deliverables, and financial milestones to ensure they stay on track. Act as a liaison to facilitate communication between investors, lenders, state agencies, and internal teams, ensuring alignment and transparency. Support and assist with research efforts and the compilation of reports to inform decision-making for business development projects. Keep a pulse on the progress of business development initiatives by tracking KPIs, OKRs, and strategic priorities, ensuring accountability across teams and maintaining focus on key objectives. 4. InvestorFinancial Support Assist in preparing investor decks, financial reports, and funding applications. Manage documentation for tax credits, state incentives, and financing structures. Support financial modeling, analysis, and forecasting as needed. Maintain organized records of investor relations materials, agreements, and compliance reports. 5. Operational EfficiencyProcess Optimization Identify and implement process improvements to enhance efficiency. Support HR, legal, and finance teams with administrative tasks and compliance. Assist in maintaining reporting requirements for funding sources and legal documentation. Develop and refine internal systems and workflows to improve execution. 6. Event PlanningSpecial Initiatives Plan and coordinate investor meetings, company events, and industry conferences. Handle special projects assigned by the CEO, ensuring seamless execution. Organize leadership retreats and cross-functional strategy sessions. 7. Performance TrackingReporting Develop and manage key performance indicators (KPIs) and executive dashboards. Provide regular updates on project statuses, financial milestones, and operational priorities. Work closely with the CEO to adjust priorities based on evolving business needs. QualificationsKey Skills 8+ years of experience in a Chief of Staff, Sr Executive Assistant, or Business Partner/Operations role. Experience in real estate development, finance, or sustainability is a plus. Exceptional organizational and project management skills. Ability to multitask, problem-solve, and execute under tight deadlines. Strong written and verbal communication skills. High level of discretion and professionalism when handling sensitive information. Proficiency in Microsoft Excel, Google Docs Suite,and project management tools is a must. Adaptable, quick learner, and proactive in driving outcomes.
