More About this role:

The Executive and Board Administrator position plays a vital role in supporting the strategic and operational effectiveness of our Board of Directors and Chief Officer teams. This position is responsible for managing and developing administrative processes that ensure clear communication and timely follow through on Board and Executive deliverables. The role demands a high degree of professionalism, integrity and discretion. The ideal candidate brings a program management approach to managing, developing, assisting and performing various executive and administrative duties. Strong organizational skills, attention to detail, and a polished communication style are essential as this role regularly interacts with Board members, Executives and internal stakeholders. Independent judgment is required to plan, prioritize and organize a diversified workload. As key partner to our leadership team, the Executive and Board Administration position upholds the highest standards of administrative and operational excellence in support of Jovia’s mission and strategic goals.

What you will be doing:
Executive Support:

Proactive and high-level support for the Board of Director and Chief Officer teams, including communication management, meeting preparation, calendar prioritization, and Board / Executive onboarding.

Board Operations:

Full-cycle Board meeting administration including agenda development, materials distribution and portal management, Oversees communication and logistics for the Board of Directors, Supervisory Committee, and Advisory Committee.

Strategic & Business Planning Support:

Plays a key role in coordinating and supporting the development of the organizations Strategic & Business Plans. Partners with executive leadership to ensure plans are thoroughly formulated, well organized, and delivered on schedule. Oversees the preparation, documentation and tracking of key planning deliverables to ensure accuracy, alignment with organizational goals and timely completion.

Communication & Event Leadership:

Serves as the Executive team’s point person for internal communications (e.g., distributing senior team meeting notes to all staff), and organizes key events involving Executive participation.

Governance & Confidential Records Management:

Maintains and manages the board portal and governance documentation with a high level of confidentiality and precision.

Process Optimization:

Continuously improves administrative workflows, leveraging technology and automation to increase efficiency in support of executive and organizational goals.

What we need from you:

A Bachelor’s Degree is required 5+ years of demonstrated experience in Microsoft Office Products (Word, Excel, and PowerPoint) Demonstrated excellent written and oral communication skills Excellent organizational and time management skills Strong attention to detail Proven critical thinking and problem resolution skills Willingness to work flexible hours when required

Work From Home and Hybrid Requirements:

This particular position is Hybrid and requires in-office / plus work from home days to our offices in

Uniondale, New York:
