Job Purpose The Wealth Management Operations Manager will oversee the firm’s operational processes and client service functions, ensuring efficient management of client accounts, service requests, and advisor support. This role involves supervising a team of client service representatives, optimizing workflows, managing technology systems (e.g., CRM, portfolio management tools), and ensuring compliance with regulatory standards. The manager will work closely with financial advisors and senior leadership to support the firm’s growth and deliver exceptional client outcomes.

Minimum Requirements Education :

Bachelor’s Degree in Business, Finance, or a related field preferred; Associate’s Degree with relevant experience accepted.

Experience :

3+ years in wealth management, financial services, or a related industry, with at least 2 years in a management or operations role . Experience overseeing client service or operational processes in a fast-paced environment.

Licensing :

Securities (e.g., Series 7, Series 66) and/or insurance licenses preferred or willingness to obtain within the first year.

Technical Skills :

Advanced proficiency in MS Office Suite (Excel, Word, Outlook). Experience with wealth management software (e.g., Salesforce, Redtail, Orion, or eMoney) and the ability to implement and learn new systems quickly.

Certifications :

CFP, CFA, or operations-focused certifications (e.g., Six Sigma, PMP) are a plus but not required. Required Skills Strong leadership and team management skills to motivate and guide client service staff. Exceptional organizational and process optimization skills to streamline operations and enhance efficiency. Excellent communication (written and verbal) for interacting with clients, advisors, and team members. Attention to detail and accuracy in managing client data, compliance, and operational workflows. Proactive problem-solving and strategic thinking to anticipate challenges and implement solutions. Adaptability to manage evolving priorities in a dynamic wealth management environment. Responsibilities/Tasks The Wealth Management Operations Manager will lead operational and client service efforts to support the firm’s advisors and clients.

Key responsibilities include:
Operational Leadership :

Oversee daily operations, including client account management, transaction processing, and service request fulfillment (e.g., beneficiary changes, withdrawals, portfolio reallocations). Develop and implement standard operating procedures (SOPs) to improve efficiency and consistency. Monitor and enhance technology systems (e.g., CRM, portfolio management tools) to support operational needs.

Team Management :

Supervise and train a team of client service representatives, ensuring high performance and client satisfaction. Delegate tasks, monitor progress, and provide coaching to improve team capabilities. Foster a collaborative, client-focused culture within the operations team.

Client Service Oversight :

Ensure timely and accurate resolution of client service requests, maintaining a high standard of professionalism. Review and approve client-facing documents, such as account summaries and applications, for accuracy and compliance. Support advisors by preparing materials for client review meetings and coordinating account transfers.

Compliance and Risk Management :

Ensure all processes comply with regulatory requirements (e.g., SEC, FINRA) and firm policies. Conduct regular audits of client data, transactions, and operational workflows to mitigate risks.

Strategic Support :

Collaborate with senior leadership to identify opportunities for operational improvements and firm growth. Assist with new business processing, client onboarding, and marketing initiatives (e.g., client reports, mailings). Analyze operational metrics to drive data-informed decisions and enhance client experiences.

Advisor and Client Support :
