The incumbent is responsible for preparing reports, maintaining the department’s filing and data repository, and performing other administrative tasks and special projects. This customer-facing position requires regular interaction with residents, stakeholders, and external partners. The coordinator will also assist in resolving general issues related to customer satisfaction, regulatory compliance, and program operations under the purview of the Asset Management Division. All activities must support the mission, strategic goals, and objectives of the Housing Authority of the City of Pittsburgh (“HACP” or “Authority”). Essential Duties and Responsibilities The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties, and skills may be required and assigned. Provides administrative support to the Senior Director of Asset Management and senior leadership within the Asset Management Division. Coordinates calendars, meetings, prepares agendas, and records meeting minutes as needed. Assists with drafting communications, including internal and external memos, reports, and presentations. Coordinates day-to-day administrative functions for the Asset Management Division, ensuring effective organization and workflow. Maintains all departmental filing and data repository systems, records, and related documentation. Coordinates and tracks contract utilization, modifications, and amendments for Asset Management-related agreements; serves as liaison with the Finance and Procurement departments to ensure contract funding and payments are accurately processed and reflected. Communicates with supervisors regarding contract status, budget alignment, and related compliance as needed. Tracks deadlines, updates internal trackers, and ensures timely submission of reports and deliverables. Serves as a point of contact between Asset Management and other departments Facilitates the exchange of information and assists with follow-up on cross-functional initiatives. Serves as a representative of the department in communications with internal customers, residents, vendors, and community stakeholders. Supports Asset Management programs such as Low Income Public Housing (LIPH), Mixed Finance, and Homeownership by monitoring administrative compliance, preparing required documentation, and assisting in the implementation of program initiatives. Assists in resolving issues related to customer satisfaction and regulatory compliance under the purview of the Asset Management Division. Reviews, processes, and tracks damage claims submitted by residents of the Low Income Public Housing Program. Assists with the coordination and completion of special projects, strategic initiatives, and periodic reviews or audits. Compiles data, prepares status reports, and tracks performance metrics in support of departmental objectives. Coordinates logistics, prepares materials, and ensures documentation of outcomes. Performs other related duties as assigned. Required Skills This position requires the incumbent to exhibit the following behavioral skills: Excellent verbal and written communication skills. At least two years of related experience. ADA and Other Requirements Positions in this class typically require: grasping, talking, hearing, seeing, and repetitive motions.
Sedentary Work:
