Reference #: 10971OverviewColliers Engineering & Design is seeking a Proposal Specialist to join our dynamic Marketing team!

This exciting position will assist with the coordination and management of qualifications and marketing proposals. In this role you will collaborate with the Proposal Manager to develop standout proposals-gathering key content, ensuring submission requirements are met, and packaging professional, high-impact materials from start to finish.

Please note that for this role, we are specifically looking for individuals who can work on-site from one of our Pennsylvania office locations. This ensures alignment with team operations and supports effective communication across departments.

ResponsibilitiesKnowledge of procurement and RFP/SOQ processes.

Strong interpersonal/communication skills and experience collaborating with multi-disciplinary teams.

Coordinate and manage the marketing process, all pursuits from start to finish.

Assist with maintaining and updating corporate firm information for use in Firm Qualifications.

Schedules and facilitates proposal kick-off meeting, compiles, and distributes meeting notes, action items, and review comments from all proposal meetings.

Ability to provide follow up on submitted opportunities.

Coordinate with subconsultants as needed.

Maintain and update Unanet/Cosential (CRM) which includes, opportunities and qualifications.

Special Project Assignments as directed by Proposal Manager.

Ability to work independently.

Proofs and edits technical and non-technical documents for accuracy and consistency.

QualificationsOver 5 years’ experience working at an A/E/C firm as a Proposal Coordinator.

InDesign experience preferred.

Must be detail-oriented and organized.

Experience using Microsoft programs including Word, Excel, Outlook, Teams & PowerPoint.

Strong writing and editing skill.

Familiar with PA State Agencies PASSHE, Penn

DOT, PA DGS, PEMA, DCNR, PA

PUC.Knowledge of Unanet/Cosential (CRM) a plus but not required.

Ability to meet strict deadlines.

Knowledge of Microsoft and Adobe programs.

Relationship Management.

Business Acumen.

Communication skills.

Program/Project Execution.

Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.
