This position plays a critical role in supporting project administration and documentation for FDOT and other public infrastructure projects. Working closely with project managers, inspectors, and field teams, the CSS ensures project records are accurate, compliant, and complete. This is a full-time, hourly position. Work may be performed in a field office, regional project office, or hybrid setting depending on project assignment. Occasional travel to project sites may be required. Key Responsibilities Assist in the preparation, review, and submission of monthly and final estimates using AASHTOWare Project Construction (PrC) or SiteManager. Track daily and weekly quantities and material certifications. Process and maintain documentation for work orders, supplemental agreements, and change orders. Maintain accurate and organized project records using as an example FDOT’s EDMS system. Coordinate and compile Final Estimate Packages and As-Built documentation for project closeout. Review project compliance with EEO, DBE, and contract documentation requirements. Participate in internal quality reviews and audits to ensure completeness and accuracy of project files. Support the Project Administrator in maintaining contract compliance and documentation control. Skills, Knowledge and Expertise Should exercise independent judgment in planning work details and making technical decisions related to the office aspects of the project. Must be able to adapt to varying contract requirements and documentation standards across FDOT and local agency projects, demonstrating flexibility while ensuring accuracy, consistency, and compliance with each agency’s specific procedures. Must be familiar with FDOT procedures related to documentation, estimates, material tracking, and contract compliance. Must be proficient in the use of standard office and project-related software, including Microsoft Word and Excel, and able to quickly learn systems such as AASHTOWare. Should be able to clearly communicate with project staff, contractors, and agency personnel both verbally and in writing. Must be detail-oriented, organized, and capable of managing documentation across multiple active projects. Requirements High school diploma or equivalent required. CTQP Final Estimates Level II certification required. For candidates without a degree in
Engineering, Construction Management, or Engineering Technology:
Minimum four (4) years of CEI experience in project documentation and administrative roles. Experience using FDOT systems such as PrC, EDMS, and ProjectSolve preferred. Ability to communicate effectively in English, both verbally and in writing. Must be proficient in Microsoft Office Suite and able to learn project-specific software. Ability to exercise independent judgment in planning and completing administrative tasks. Familiarity with FDOT documentation procedures, including material certifications and DBE/EEO tracking. Experience with Trimble Business Center or 3D modeling/CADD systems is a plus.
