Who You Are:
Versar Global Solutions is seeking a full-time Contract Support Specialist of Infrastructure Asset Maintenance serving a critical administrative role in the project management team supporting the Florida Department of Transportation. The Contract Support Specialist, reporting to the Project Manager, is responsible for implementing controls and providing resourcing for the project’s adherence to the performance-based contract with an MRP component on behalf of VGS for Maintenance Services. What You’ll Do:
Receives, coordinates, and maintains complete, up-to-date and accurate records of all work orders from staff and vendors.
Manages the CMMS system, including entering system data and providing overall system administration.
Obtains work order completion and asset information and/or site images from maintenance team via email or verbal request.
Enters work order and technician information and data into the CMMS.
Ensures appropriate coordination and follow up with staff and vendors.
Manages Customer Service Response Program (CSR) by responding to emails and phone calls from the public, vendors, or agencies, following up as needed.
Generate system reports on the prescribed frequency, as needed, or as requested.
Submittal of daily/weekly reports / logs
Development, maintenance, and management of Versar Global Solutions’ Customer Service Response program
Assists in coordinating the selection process of subcontractors and other professional consultants in accordance with company policies and procedures and FDOT contract requirements
Assists in compiling of data/reports from subcontractors for the monthly invoice to the client
Reviews project’s scope and schedules as part of business operations to develop appropriate resourcing
Answers phones to direct callers to the appropriate teammate if unable to assist with their inquiry.
Performs light reception duties to include receipt of packages, responding to vendor and walk-in needs, and other general requests
Alignment and compliance with FDOT policies and procedure
Ongoing compliance with the approved FDOT and applicable Federal and State programs
Management of insurance recovery claims (3rd party)
May support the QC Manager by assisting with performing quarterly field Maintenance Rating Program (MRP) inspections, by random sampling, and compile results for Superintendent’s review and action in cooperation with the Quality Control Manager
May support office manager in the identification, development, review, and enforcement of DBE (Disenfranchised Business Enterprise) requirements
Supports administrative functions related to selection process of subcontractors and other professional consultants in accordance with VGS policies and procedures and FDOT contract requirements
Perform status reporting and record archiving in accordance with the contract requirements, maintain document controls, and provide quality control in VGS’ administrative functions
Responsible for tracking of subcontractor records and reporting data to ensure contract compliance
Responsible for compiling data/reports from subcontractors for the monthly invoice to the client
Reviews project’s scope, schedules, and budgets as part of business operations to develop appropriate resourcing and cost values
Participates in the development and maintenance of standard operating procedural manuals
Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to Versar’s Team Member Handbook and related policies and procedures.
Performs other duties as required.
What You’ll Bring:
18+ years of age
High School Diploma or equivalent
Experience with review and interpretation of contract language and terms
Proficient in MS Suite (Mostly Outlook, Teams, Excel, and Word)
Ability to learn and navigate client proprietary systems and applications (to include ISPE, HWLO, Inservice Applications)
Ability to gather information across channels, to include maintenance team, management, office personnel, and operational staff
Customer service experience
Ability to sit for extended periods of time
Strong oral and written communication skills
Excellent organizational skills with attention to detail
Proficiency in English communication, both written and verbal, is essential for performing the duties of this role effectively.
Successful results of preemployment screenings, including federal background check, MVR, and drug screen
Comply with company drug and alcohol policy.
Be authorized to work in the US or will be authorized by the successful candidate’s start date. Preferred Qualifications Experience with computerized maintenance management systems (CMMS) and enterprise asset management systems
Familiarity with construction, landscaping, facilities, custodial, or general groundskeeping practices and terminology
Experience with using the Compass system and FDOT Microsoft Workspace
Experience with work order / task order creation, follow-up, or closing
Experience with dispatching company personnel
Experience communicating with and supporting management, office personnel, and operational staff
Compensation Expected Salary:
