Full Job Description Position Overview:

R D Machine specializes in CNC machining of precision metal components for aerospace, defense, and space applications. Most of our parts have complicated geometries and will be used above the Earth’s surface, in either our atmosphere or in outer space. We are seeking a detail-oriented and proactive Sales Administrator to support our operations within the aerospace machining sector and serve as the primary liaison between R D Machine and our customers. This role is critical in ensuring the seamless flow of customer orders, documentation, and communication between the sales, production, and quality teams. The ideal candidate will have experience in a high-precision manufacturing environment, a solid understanding of aerospace industry standards, and the ability to work cross-functionally with production, quality, and engineering teams.

Day Shift Monday-Friday Responsibilities:

Customer Interaction & Communication Act as the primary point of contact for customers via phone and email. Attend customer meetings and provide updates on order status and shipments. Respond to customer inquiries with timeliness, accuracy and professionalism. Purchase Order (PO) Management Receive and review customer POs for compliance with documentation. Validate shipping, billing, and remittance information. Enter valid POs into ERP; reject non-compliant POs with appropriate communication and documentation. Order Processing & Management Manage long-term agreement (LTA) orders for customers. Acknowledge and manage orders through customer portals Track and update order changes, forecast entries, and line releases in ERP system. Maintain accurate historical records of customer-driven changes. Quotation Management Track and manage incoming RFQs and RFPs. Generate and submit quotes in compliance with company processes and customer requirements. Ensure quotes are approved, logged into ERP system, and submitted via email and customer CRM systems. Production Documentation Generate and maintain traveler/routing documents using the estimate summary sheet. Print and organize travelers and required documents in correct job packets. Split jobs into child jobs as needed, ensuring proper job numbering and documentation. Scan and archive all final documentation, including certifications and reviewed routers. Customer Returns & Adjustments Manage return material authorizations (RMAs). Coordinate with accounting to adjust pricing and reconcile discrepancies. Process Improvement Compare actual production data against original quotes and report any variances. Assist in refining estimates based on real-time job performance and material usage.

Qualifications:

Prior experience in a high-precision manufacturing or aerospace machining environment. Strong understanding of aerospace industry standards and customer portal systems Proficiency in ERP systems. Excellent attention to detail and organizational skills. Strong communication and interpersonal skills; able to interact effectively with customers and internal teams. Ability to work cross-functionally with production, quality, and engineering departments. Comfortable managing multiple priorities in a fast-paced environment. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and capable of quickly learning new software systems. Proactive, self-motivated, and solution oriented. Must be authorized to work in the United States Must pass a pre-employment drug test Must complete a pre-employment background check

Preferred Attributes:

Experience reading technical drawings or understanding machining terms. Exposure to international trade/export regulations. Proactive attitude and commitment to continuous improvement.
