Job Description
Field Manager TG Administration LLC Venice, FL 34293 The Sarasota National (SN) Field Manager is responsible to the SN Community Manager for all aspects of his/her job. This job description includes, but is limited to, all of the duties and responsibilities herein listed: The Field Manager shall perform the following duties in a professional and timely manner:
Staff Relations:
The Field Manager shall – Confer with and take direction from the SN Manager for day-to-day operational matters on a daily basis. Apprise the SN Manager of any anticipated problems, actions and activities that may be of importance. Prepare and present a complete monthly report to the SN Manager prior to Board Meetings. Advise the SN Manager when problems arise as they pertain to the maintenance contracts of the landscaping, environmental and other contractors that may be working within the scopes of the Field Manager’s purview; Grounds/Homeowner property & common areas, streets, lights, culverts, etc. Become familiar with all contracts, agreements, documents, and other units of government as they pertain to management contracts in his/her scope of work. Advise and assist the SN Manager in any issues involving these units. Work closely with the SN Maintenance Manager and Golf Course Superintendent. Property Owner Relations:
The Field Manager shall – Liaison between the SN Manager and Contractors on a daily basis as needed. Liaison with property owners, respond to requests, concerns and complaints in a timely fashion and keep written records of the same. Keep records and report to the SN Manager. Maintain and update landscaping reports for accuracy with information provided to accurately monitor the contracts and activities of the contractors as specified by the SN Manager. Apply SN Covenants, By-Laws, policies, rules, etc. in conformance with directives. Assist with preparation of the annual budget as it pertains to the vendor contracts that are managed by the Field Manager. Maintain a current record of all maintenance problems and their resolution as it pertains to the contracts managed by the Field Manager. Assist the SN Manager in the provision and review of vendor contracts to protect SN and all SN Master Association properties, consistent with state law, SN documents, and SN Board direction. Under SN Manager’s direction, take such action as may be necessary to comply with non-routine orders or requirements affecting SN placed thereon by a Federal, State, County, or other such authority having jurisdiction thereof.
Contracts and Purchasing:
The Field Manager shall – Assist SN Manager in solicitation of bids for service or equipment. Assist SN Manager to prepare, negotiate, or arrange for contracts. Assist SN Manager in supervision/oversight/implementation of service and maintenance contracts. Assist in evaluation of the performance of contractors and advise the SN Manager, if necessary, to obtain contractor compliance with specifications, contracts, and schedules. Purchase supplies, equipment, and other items needed to perform his/her duties as directed by the SN Manager within budgetary constraints.
Administrative:
The Field Manager shall – Update and maintain appropriate reports as it pertains to his/her duties and as they are directed by the SN Manager. Maintain all records as they pertain to the scope of work in accordance with the requirements of Section 720, Florida State Statutes, as directed by the SN Manager. Attend meetings of the SN Board, Facilities & Common Grounds Committee, Risk Management Committee, ARC Committee, and other community meetings as directed by the SN Manager. Provide staff liaison to the Facilities and Common Grounds Committee and Risk Management Committee and work closely with Board Member liaisons for those committees. Stay current with all applicable HOA and Florida legislative changes as they pertain to landscaping and environmental issues and the implications for SN. Assist in investigation of complaints, accidents, casualties, or other incidents, reports of damages relating to the maintenance, operations, or management of SN and where appropriate immediately notify the SN Manager. Other duties as may be assigned by the SN Manager.
