Position Summary The Construction Administrator will provide comprehensive support to the Director and project management team by overseeing various administrative and operational functions within construction projects. This role will focus heavily on contract management, travel coordination for workforce on-site, schedule tracking, and project monitoring. The role requires a deep understanding of construction practices, legal frameworks, and project management.
Requirements:
Key Responsibilities Contract Support and Management :
Assist with drafting, reviewing, and managing contracts, including subcontracts, purchase agreements, and service contracts. Ensure all contract terms align with company policies and legal standards. Support the Director in identifying and mitigating risks during the contract phase.
Travel Coordination :
Coordinate travel arrangements for the workforce on-site, ensuring timely arrivals, accommodations, and logistical details are in place for all project teams.
Schedule and Project Monitoring :
Pull project schedules and ensure they are up to date. Work with project managers and site managers to monitor task completion and make sure all parties are adhering to timelines and responsibilities. Audit the execution of tasks to ensure they align with expectations.
Vendor Onboarding Assistance :
Assist with the onboarding of new vendors, ensuring all necessary documentation is in place and contracts are executed properly. Maintain an up-to-date vendor database and assist with tracking performance.
Compliance and Risk Management :
Monitor and help enforce compliance with local, state, and federal laws, including construction and labor regulations. Support the Director in risk assessments and ensure all contracts meet regulatory requirements.
Documentation and Reporting :
Maintain and organize comprehensive records of contracts, amendments, correspondence, and any other project-related documentation. Provide regular updates to the Director and Leadership on contractual obligations, performance, and risk mitigation.
General Administrative Support :
Provide overall administrative support to the Director, including scheduling meetings, preparing materials, and assisting with communications and reporting. Qualifications Bachelor’s degree in Construction Management, Business Administration, Law, or a related field. Exceptional organizational, communication, and interpersonal skills. Strong attention to detail and the ability to multitask effectively. Experience with project scheduling software and contract management systems. Basic understanding of risk management and compliance requirements in the construction industry. Experience Proven experience in a construction-related administrative role (5+ years preferred), with a strong understanding of contracts, construction terminology, project management practices, regulatory requirements.
