Position Summary The Proposal Manager on the Proposal team is responsible for coordinating and preparing commercial offers that align with company objectives and customer demands. They will be responsible for the execution and production of assigned budgetary proposals and participating as a member on the overall commercial operations team. That includes project managing deal flow, ensuring a cohesive and sound deal structure, as well as maintaining CRM data quality. The Proposal Manager will produce the assigned deliverables within the designated timeline, quality parameters, corporate approval procedures, commercial/bid strategy, and client requirements. The Proposal Manager may lead or support process improvement initiatives or be assigned as a subject matter expert within the Commercial Operations organization to ensure consistency and continuity throughout the organization in a particular discipline that is essential to the Commercial Operations organization.
Key Responsibilities:
- Structure, develop, and edit proposals and proposal responses sections, while building the response around the Client requirements, in a creative, compelling, and compliant manner.
- Serve as the central ComOps point of contact for all project opportunity requests for Quotes.
- Conduct weekly operations review meetings and ensure documentation is submitted by Account Executive and data logged in the system appropriately.
- Maintain CRM data to track all developments of the opportunity activities.
- Schedule meetings, develop and issue assignment and response schedules, following up with content providers, and monitor timelines/deadlines to ensure timely proposal completion and submittal.
- Manage electronic proposal files and SharePoint integrity.
- Complete pre-qualification documentation processing as needed.
- Facilitate post-proposal submission clarification requests/assist Commercial Lead in obtaining responses for timely turnaround.
- Potential to support the RFP response team once comfortable with quotes, likely to be infrequent.
- Supports and adheres to Company’s core values.
- Performs other duties or responsibilities as assigned or required.
- Supports and adheres to Company’s Code of Conduct and Ethics Policy.
- Represents Company in a positive, professional manner when working with both internal and external customers.
Education & Experience:
- Bachelor’s Degree
- 3 – 8 years of experience in sales operations with previous experience in business development tracking, proposal coordination and development within a technical organization.
- A combination of education and experience may be considered.
- Experience in developing customer response documents, proposal templates, proposal schedule and experience facilitating storyboarding and management reviews.
- Experience in writing and editing boilerplate content for proposals by working with/interviewing subject matter experts from different areas of the company to develop the content.
- Knowledge working with Microsoft Word, Excel, PowerPoint, CRM.
