Position Summary We are seeking a detail-oriented and organized Proposals Administrator to join our growing team. This role is critical to ensuring that all proposals and bid documents are accurate, timely, and aligned with company goals and client requirements. You will work closely with the sales, operations, and technical teams to prepare compelling proposals and maintain a consistent pipeline of bid responses for residential and commercial HVAC and energy projects. Key Responsibilities Prepare and manage proposals, bids, and RFP responses in coordination with internal stakeholders Track proposal deadlines, ensure timely submission, and maintain an organized schedule of upcoming opportunities Compile and format technical and pricing information from multiple departments Ensure all documents meet quality, compliance, and branding standards Maintain and update proposal templates and supporting materials Research and monitor bid opportunities through industry portals and procurement sites Assist in gathering post-bid feedback and maintaining a database of past proposals and outcomes Support the sales and business development team with additional administrative tasks as needed Qualifications 2+ years of experience in an administrative or proposal writing role; experience in HVAC, construction, or energy services preferred Excellent written and verbal communication skills Strong organizational and project management abilities Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Experience with CRM systems (Salesforce or similar) is a plus Ability to work independently and manage multiple deadlines in a fast-paced environment

Salary :

Schedule:

Hours 7:30am-4:30pm (one hour lunch) Monday-Friday plus one Saturday a month 8am-12pm to coincide with one weekend on call a month after about 3-4 months.

Ability to commute/relocate:

Reliable commute to Cherry Hill daily or planning to relocate before starting work (Required)
