Grants and Contracts Specialist Job Description The Grants and Contracts Specialist is responsible for collecting, consulting, and reviewing necessary information to create subaward agreements. These agreements are issued under Federal, State, non-profit, and for-profit Sponsors. The specialist initiates subaward records and communicates with the subawardee institution, internal departments, and external parties for clarifications and status updates. They respond to requests and questions related to subaward issues for assigned departments. Responsibilities Work closely with Grants and Contract Analysts to review clinical trial contract agreements and assist in creating invoices to ensure timeliness and accuracy. Facilitate clinical trial billing and assist in tracking payments and billing pure research-related fees. Create, distribute, and follow up on invoices for assigned caseload. Identify and address collection issues by tracking receipt of payments and analyzing aging and uncollectible account receivable balances. Log payments into Oncore. Assist with clinical trial billing to third-party payors. Resolve outstanding sponsor or vendor invoices. Ensure protocol-related and subject-related milestones invoices are completed in a timely and efficient manner. Essential Skills Research administration SOW Uniform guidance Contracts administration Experience in a healthcare or academic environment (0-2 years preferred) Effective oral and communication skills Computer literacy with proficiency in Microsoft Word, Excel, Access, and PowerPoint Additional Skills & Qualifications Experience at a non-profit and/or higher education medical center is preferred. Experience with OnCore® CTMS is preferred. Additional related experience may be substituted for the degree on a year-for-year basis. Detail-oriented nature Work Environment This position offers a hybrid work schedule with the opportunity to work from home four days a week. The team consists of two members responsible for all subawards, handling approximately 1,000 actions per year. The team manages operations in Camden and New Brunswick, with funding from government, foundations, and the private sector, including companies like Merck and Lockheed Martin.
