Mesa Associates, Inc. has an immediate opening for a Proposal Coordinator to join our Corporate Proposal Department and support our growing engineering and consulting services business. The Corporate Proposal Coordinator (Coordinator) is responsible for coordinating and managing the full lifecycle of proposal development—from kickoff to submission—for responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and Sources Sought notices (SS).
The Coordinator works collaboratively with business units, technical teams, proposal staff, and leadership under the guidance of the Corporate Proposal Manager. The Coordinator leads planning meetings, maintains compliance and configuration control, and ensures the production of compliant, compelling, and on-time proposals.

Education/Experience:

Associate’s degree in business, English, communications, marketing, or a related field with 2+ years of experience. Bachelor’s degree preferred.
APMP certification (CF or higher) or willingness to obtain within the first year of employment is strongly preferred.
2-5 years of experience in coordinating government and/or private-sector proposals.
Demonstrated experience managing short-turnaround projects requiring collaboration across departments and attention to schedule, compliance, and detail.
Familiarity with RFP/RFI requirements and procurement processes across federal, state, municipal, and commercial sectors.
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); Adobe Acrobat Professional; and file management software. Familiarity with MS Project, Visio, and proposal automation tools (e.g., Loopio) is a plus.
Experience in the electric utility or engineering consulting industry is preferred.
Responsibilities include, but are not limited, to the following:
Coordinate proposal development activities including planning, scheduling, kickoff, reviews, and submission.
Analyze solicitation documents and develop outlines, compliance matrices, schedules, and data call requests.
Collaborate with business development, technical staff, and subcontractor/teammate personnel to gather content.
Write, edit, or coordinate responses for proposal sections such as executive summaries, resumes, project descriptions, and corporate experience.
Maintain configuration control of proposal documents throughout the lifecycle; track all changes and deliverables.
Ensure compliance with all solicitation instructions and evaluation criteria.
Coordinate interim and final reviews; track and incorporate team comments.
Ensure professional formatting, branding, and presentation of all proposal documents.
Support post-submission activities such as clarification responses, best and final offers (BAFO), and evaluation notices (ENs).
Assist with developing and maintaining searchable repositories of resumes, project profiles, and corporate content.
Assist with data entry and library maintenance in Mesa’s proposal automation tool(s).
Participate in proposal lessons learned meetings and continuous improvement initiatives.
