Position Overview :
We are seeking a reliable and organized EMS Office Coordinator and Dispatcher to join our team. This position requires someone who can efficiently manage administrative tasks while also dispatching emergency medical services. The ideal candidate will be capable of multi-tasking, demonstrate excellent communication skills, and have a keen understanding of EMS operations. This is a dynamic role that requires flexibility, attention to detail, and the ability to remain calm under pressure.
Key Responsibilities :
Office Coordination :
Perform a variety of administrative duties, including scheduling, filing, and record-keeping. Maintain accurate EMS vehicle and equipment logs. Assist with billing and insurance documentation for EMS services. Prepare reports and track inventory of EMS supplies and equipment. Handle patient and personnel scheduling, ensuring proper staffing levels for shifts. Answer phone calls, emails, and other forms of communication from patients, medical professionals, and the public. Prepare and distribute internal communications to EMS personnel. Coordinate meetings, training sessions, and other events for EMS staff.
Dispatcher Duties :
Receive and process emergency medical calls, ensuring prompt and accurate dispatching of EMS units. Monitor radio communications between EMS personnel and the command center. Prioritize emergency calls based on urgency and severity, ensuring the appropriate response. Maintain clear and effective communication with EMS teams on the ground, providing them with accurate information for each call. Keep track of vehicle locations, status, and crew availability in real-time. Ensure compliance with local and federal regulations in handling emergency dispatch procedures. Update call logs, document dispatch actions, and report any incidents or discrepancies. Provide support to on-scene EMS teams by relaying critical information, medical protocols, and logistical support.
Qualifications :
Required :
High school diploma or equivalent. Proven experience in office administration, dispatching, or EMS-related roles. Familiarity with EMS software, dispatch systems, and office tools. Strong communication skills, both verbal and written. Ability to handle high-stress situations and make quick decisions in emergency scenarios. Excellent organizational and multitasking skills. Knowledge of emergency medical procedures and terminology is a plus. Ability to work flexible hours, including nights, weekends, and holidays.
