Full Job Description Job Summary:
We are seeking a reliable and detail-oriented Office Coordinator to join our Non-Emergency Medical Transportation (NEMT) team. This role is essential in ensuring smooth day-to-day operations, including scheduling transportation, managing broker communications, and providing exceptional service to clients and drivers. The ideal candidate will be technologically proficient, have a professional customer service demeanor, and be comfortable working in a fast-paced environment.
Key Responsibilities:
Schedule and dispatch transportation for patients in accordance with broker guidelines and facility and client needs. Manage daily trip manifests and communicate updates to drivers. Answer incoming phone calls in a courteous, professional tone and respond to customer inquiries or concerns. Coordinate with transportation brokers to confirm trip authorizations, resolve discrepancies, and manage scheduling adjustments. Use scheduling software, spreadsheets, and other tools to track, assign, and update trip information. Maintain accurate records of transportation data, including mileage, pickup/drop-off times, and client information. Ensure timely communication with clients and staff regarding any delays, cancellations, or trip changes. Assist with basic administrative tasks and data entry as needed.
Qualifications:
High school diploma or equivalent (Associate’s degree preferred). Prior experience in a scheduling, dispatch, or administrative role, preferably in transportation or healthcare. Strong communication skills with a clear and friendly “customer service” voice. Proficiency with Microsoft Excel and general computer skills. Ability to learn and use dispatching and scheduling software. Excellent organizational and multitasking abilities. Comfortable working in a fast-paced, team-oriented environment. Professional demeanor and problem-solving skills.
Preferred Skills:
Experience working with transportation brokers (e.g., Modivcare, MTM, etc.) Knowledge of HIPAA compliance and patient confidentiality best practices Bilingual (Spanish/English) is a plus
