We are seeking an experienced, dependable, and punctual individual to join our team as a Scheduling and Dispatch Specialist. With a focus on maintaining our Contract holders, you will play a key role in scheduling preventative maintenance for commercial, residential and property manager projects. Must have excellent communication skills for making outbound and receiving inbound calls, as well as managing correspondence via email in a fast-paced environment. This role requires excellent verbal and written communication skills, multitasking efficiency, and the ability to maintain a positive and professional demeanor. General:

Work hours are from 7:30am -4:30pm with a half hour lunch, Monday through Friday with one Saturday rotation every 6 weeks from 8am-5PM. Reports to

Maintenance Manager and Service Administration Manager Primary Job Functions:

1.) Maintain preventative maintenance technician’s daily schedules, 6-7 scheduled calls per technician Late calling clientele Making outbound & receiving inbound calls Outbound calls vary between 33-45 daily Inbound calls vary between 20-30 daily depending on call volume 2.) Answering of incoming phone calls, opening new service work orders, reviewing the history of client for proper input of services requested 3.) Opening new service work orders 4.) Responsible for maintaining the contract generated maintenance workorder reports to ensure all appointments are scheduled within 30 days of opening 5.) Ensuring confirmations of maintenance appointments two days prior are completed. 6.) Monitor routes and statuses of their assigned field personnel Ensuring travel is no longer 15-20 minutes between jobs Calling technician for safety reasons if technician is at job longer than expected. 7.) Maintaining maintenance email inbox and calling clients in a timely manner 8.) Responsible for clear communications with Management to ensure scheduling concerns & customer concerns are handled promptly. 9.) Monitoring and responsible for maintenance reports daily: Return visits Parts Received Completed Manager Review Open call report for maintenance residential and commercial accounts 10.) Responsible for billing and closing invoices daily 11.) Accountable for ordering specialty ordered filters for technicians scheduled appointments; ensuring payment is secure for installation. 12.) Willingness and ability to work evenings if required.
